Connecting Zoom to AI: finding back what was agreed in the meeting
Zoom can be connected to AI. The assistant sees which meetings are scheduled, can schedule one with a join link, and can retrieve the cloud recording and the transcript of a meeting that has ended. That last part is where the connector pays for itself: finding an agreement from last week's call without watching the recording back in full.
What the assistant does around a meeting
See what is scheduled
The assistant retrieves the scheduled meetings, so it knows what is already there before proposing anything or looking for a link.
Schedule a meeting
With a subject, a start time, a duration and the right time zone it sets a meeting up. It passes the join link on straight away, ready to drop into an email or a message.
Pass on an existing link
If a meeting for the same discussion already exists, the assistant shares that link again. Two meetings for one appointment is the fastest way to split a group in half.
Find the recording back
For a meeting that has ended it retrieves the cloud recording, if one was made. That saves anyone searching a list of files named after dates.
Search the transcript
The transcript comes with the recording, and the assistant can answer a question about it: what was agreed, who would do what, and whether a subject came up at all.
What the recording delivers
Education and research
- Situation
- After a series of online interviews for a study, a researcher has to find who said what about a particular theme.
- What the agent does
- The assistant retrieves the transcripts of those conversations and sets the passages on that theme side by side.
- Result
- Material usable for the analysis, without hours of listening back with a notepad alongside.
HR and recruitment
- Situation
- A candidate has been interviewed by three people and their impressions differ.
- What the agent does
- The assistant retrieves the transcript of the conversation and summarises what was actually said about the experience in question.
- Result
- A decision resting on statements rather than on a week old memory.
Legal
- Situation
- An intake call produced agreements on scope and rate, and those have to go into the engagement letter.
- What the agent does
- The assistant finds the passages on scope and rate in the transcript and lists them with the wording used.
- Result
- A confirmation that matches what was really said, and a file in which that can be traced.
Sales
- Situation
- An account manager has to write a quote after a call he partly took with the camera off while driving.
- What the agent does
- The assistant retrieves the transcript and picks out the requirements, objections and quantities mentioned.
- Result
- A quote the customer recognises, instead of one that sits just beside the question.
Management
- Situation
- A monthly meeting with external partners has to be scheduled and nobody knows whether a link is already circulating.
- What the agent does
- The assistant checks what is scheduled, finds the existing meeting and passes that link on instead of creating a new one.
- Result
- One link for everyone, and no participants sitting alone in an empty meeting.
Connecting Zoom
-
1
Connect with your own Zoom account
The connector runs on your own account at Zoom. An administrator sets it up in the platform and can withdraw it just as easily.
-
2
Set the permissions
You decide which roles may use the assistant for this. Transcripts are more sensitive than a schedule, so those two do not have to sit with the same group.
-
3
Agree what may be done with recordings
Record which kinds of conversations may be used and which may not. A customer call is something else than an appraisal, even when both sit in the same folder.
-
4
Use the assistant
After that a colleague simply asks: schedule this meeting, or find in Tuesday's call what was said about the lead time. Every call is recorded in the log.
A recording holds literally what people said
A transcript does not hold the summary but the reality: a slip of the tongue, hesitation, a remark in passing. That asks for tighter agreements than most sources.
Where the data lives: Nederland of de EU
Not every recording is meant for reuse
Participants know they are being recorded, but not that something searchable will be drawn from it later. Decide in advance which meetings come into view and keep personal conversations out.
Who may retrieve a recording
Access to transcripts belongs with a small group, not with everyone who uses the assistant. You arrange that in the roles, separately from the other connectors.
Every retrieval is traceable
The log shows which meeting was retrieved, when and at whose request. With recorded conversations that is not merely pleasant but necessary.
The transcript stays inside
Reading and summarising happen on your own server in the Netherlands with open-weight models. Your conversations are not used to train models.
Questions about the Zoom connector
Can I connect Zoom to ChatGPT?
You would be placing recordings of conversations with customers, employees or patients with a public service, without roles and without an audit log. That is precisely the material you do not want to do that with. IntraGPT runs on your own Zoom account, with roles you set yourself and a model running on your own server.
Does IntraGPT work with Zoom?
Yes. Zoom is in the connector catalogue. The assistant sees the scheduled meetings, can set one up with a join link and can retrieve the recording and the transcript of a meeting that has ended.
When is a recording available?
Only after the meeting has ended, and only if it was recorded to the cloud. Zoom then needs a moment to make the recording and the transcript ready. During a running meeting the assistant can do nothing with it, and for a call that was never recorded there is simply nothing to retrieve.
Is this the same as a calendar connector?
No. This connector looks at meetings in Zoom, not at an employee's diary. When someone is free, who is already booked and moving an appointment is what the Google Calendar or Outlook calendar connector is for. In practice the two work together: availability comes from the calendar, the meeting link from Zoom.
Do participants need to know the AI reads the transcript?
That is an organisational question rather than a technical one, and the answer is almost always yes. People consent to being recorded, not automatically to being searched. Put it in your own meeting agreements and be open about it; that prevents the discussion afterwards.
Can the assistant start or join a meeting itself?
No. It sets a meeting up and passes the link on, but it does not sit in the call and does not listen in. Everything that happens with the content happens afterwards, based on the recording you made yourselves.
What does a Zoom connector cost?
Connecting it is part of the project we run together. What drives the work is whether it stays with scheduling or the transcripts join in, which roles are allowed near them, and whether agreements on retention are needed.
How long does setup take?
The connection itself is quickly made and scheduling can be tested the same day. The lead time goes into the agreements about recordings: which conversations are in scope, who may reach them and how long you keep recordings.
