Connecting Zoho CRM to AI: ask the modules instead of clicking through

Zoho CRM can be connected to AI. The assistant searches the modules you release, from Leads and Contacts to Accounts, Deals and Tasks, and can record or update an entry. The connector works on Zoho's European data centre, so the data stays inside the European environment where your account lives.

Zoho CRM tends to grow with the company, and that is exactly where the friction appears. Sales works in Deals, inside sales in Contacts, marketing looks at Leads and somebody started using Tasks a while ago. Every module has its own fields and its own view, so a question touching two modules costs two searches and then some manual comparing. An AI connector turns that into a single question. The assistant searches on whatever you give it, an email address, a phone number or a company name, inside the modules you have released, and says where it found the match. For pipeline questions it uses the stage and the expected closing date of a deal, exactly as you have set those up in Zoho, instead of pulling everything and counting by hand. It does not invent field names: it goes by what appears on your screens. Recording and updating are possible too, but that touches the real CRM your colleagues work in, and is therefore enabled separately.

What the assistant can do per module

Search in the right module

The assistant searches Leads, Contacts, Accounts, Deals or Tasks on name, email address, phone number or company. It reports which module the match sits in, so you know straight away where the file belongs.

Record a lead or contact

A new lead, contact, account or deal is recorded with the details you supply. The assistant checks first whether the entry already exists, because duplicate leads are harder to clean up in Zoho than to prevent.

Update an entry

A status, an owner or an expected closing date can be changed on an existing entry. The assistant first shows which entry is involved and what it wants to change, and only proceeds once you approve.

The module stays explicit

Every question is answered from a clearly named module. That means the assistant cannot accidentally look in the wrong list, and the answer matches what you see on your own screens.

Answer pipeline questions

Ask about the deals in a given stage or about what is due to close this month, and the assistant uses the stage and the expected closing date from your own setup to return exactly those deals.

Everyday work in the sales team

Sales

Situation
A rep wants to know which deals are scheduled to close this month.
What the agent does
The assistant retrieves the deals with their stage, amount and owner and sorts them by expected closing date.
Result
An overview in the chat, without anyone adjusting a view in Zoho.

Inside sales

Situation
An email arrives from someone the colleague opening it does not recognise.
What the agent does
The assistant searches the address in the released modules and reports whether the person is known as a lead or as a contact.
Result
The email goes to the right colleague straight away, with the history attached.

Marketing

Situation
After a campaign the new sign-ups have to enter the CRM as leads.
What the agent does
The assistant checks per sign-up whether a lead or contact already exists and records only the missing ones.
Result
A clean list the sales team can pick up the same week.

Account management

Situation
Ahead of a quarterly review a picture is needed of everything running at a customer.
What the agent does
The assistant looks up the account, retrieves the attached deals and reads the open tasks.
Result
Preparation that comes from the CRM instead of from memory.

Management

Situation
The board wants to know how much sits in each stage of the pipeline, without working in Zoho.
What the agent does
The assistant groups the deals by stage and names the count and the value per stage.
Result
A figure that matches what the sales team sees, because it comes from the same module.

Setting up with the right modules

  1. 1

    Grant permission from Zoho

You grant IntraGPT permission from inside Zoho to work with the CRM. That permission stays yours and can be withdrawn at any moment, after which the connector falls silent.

  2. 2

    Release the modules

You choose which modules take part. Feel free to start with Contacts and Deals, and add Leads, Accounts or Tasks once questions about them actually come up.

  3. 3

Look on, or update as well

By default the assistant only looks on. Recording and updating entries are enabled separately, and even then it shows what it intends to write first.

  4. 4

Pick the roles and read along

You decide which teams may use the CRM assistant. Everything it retrieves or changes is written to the log, so a change can always be traced.

Connected securely

Personal data in Leads and Contacts

A CRM holds names, phone numbers and conversation notes belonging to people who have no view of it themselves. That calls for more than just a working connection.

Where the data lives: Nederland of de EU

Permission stays yours

Access is granted by you inside Zoho and can be withdrawn by you. IntraGPT stores no employee password and never signs in to the web interface.

Bounded per module

A module you do not release does not exist for the assistant. So you can let it answer questions about deals while keeping Leads outside the connector until that has been agreed.

Inside the European environment

Your Zoho data sits in the European data centre and the connector works against that same environment. No CRM data travels through another region to answer a question.

On your own server

The model runs on a dedicated server in the Netherlands. Contact details from Zoho CRM are not sent to an American model provider and are never used for training.

Questions around the Zoho CRM connector

Can I connect Zoho CRM to ChatGPT?

ChatGPT has no connection to your Zoho environment and does not know which modules you use. IntraGPT does work with your own CRM, with permission you grant and withdraw yourself. The assistant searches only the modules that have been released and everything it does can be reviewed afterwards.

Does IntraGPT work with Zoho CRM?

Yes, Zoho CRM is a working integration already in use at customers. The assistant can look up, record and update entries inside the modules you choose. Which modules those are, and whether writing is allowed, is decided during setup.

Which modules should we switch on?

That is a deliberate choice. Leads, Contacts, Accounts, Deals and Tasks are the modules the connector works with, and every module you release widens what the assistant can see. Many organisations start with Contacts and Deals and expand once it is clear which questions actually get asked.

Does the connector work with our European account?

Yes, that is precisely what it is built for. Zoho keeps an account's data in the region where the account was created, and this connector works against the European environment. If your account sits in another region, tell us during setup and we will look at it together.

Can the assistant move a deal to another stage?

Only if you have enabled updating. When that is on, the assistant first shows which deal is involved and which stage it wants to move it to, and nothing changes until you approve. It works with the stages that exist in your pipeline, not with a scheme of its own.

How do we avoid duplicate leads?

The assistant checks whether the person or company is already known before it records anything, looking at email address, phone number and name. If it finds a match, it uses that entry. When in doubt it puts the choice to you rather than creating a second lead.

What does a Zoho CRM connector cost?

The connector is part of the project we run together. The work is driven by the number of modules, how many of your own fields the setup carries, whether the assistant may update and which roles get it. We make that concrete in a short call.

How long does setup take?

Once permission is arranged inside Zoho, switching it on is a matter of minutes. Most of the time goes into choosing which modules take part and whether recording and updating are allowed. After that the team can start asking questions the same day.
