Connecting Close CRM to AI: everything around a lead in one answer

Close CRM can be connected to AI. The assistant searches leads by name, company or status, can create a new lead, log a sent or received email against the right lead and place a follow-up task with a colleague. The file stays complete without anyone going back into the CRM after every call.

Close is built differently from most CRM packages, and that shapes how you work with it. The lead is the company, and everything hangs underneath it: the contacts, the emails, the calls and the tasks. Anyone who wants to know where a customer stands looks at one lead rather than five places. That works nicely, as long as the lead is complete. In practice that is exactly where information disappears: a conversation nobody recorded, an email sitting only in somebody's inbox. An AI connector fills that gap. The assistant looks up the lead, names the status and shows which contacts and which activities sit underneath. It can log an email that was sent or received against the right lead, so the timeline is accurate. One thing to be clear about: that is recording, not sending. The assistant does not put any email out the door. And when something needs to happen, it sets up a follow-up task with a date and the colleague it is assigned to, so following up does not depend on somebody's memory.

What the assistant does around a lead

Search the leads

The assistant searches leads by company name, by the name of a contact or by status. It reports which leads exist, what status they are in and which contacts sit underneath them.

Create a new lead

A company not yet in Close is recorded by the assistant, with the contacts and the status that belong to it. It checks first whether the lead already exists, so the same company does not end up with two files.

Log an email against the lead

An email that was sent or received can be placed on the timeline of the right lead, with its subject and content. Note that this records the message in the CRM, it does not send an email to a customer.

Set a follow-up task

The assistant sets up a to-do on the lead, with the wording, the date it is due and the colleague it is assigned to. That task appears in that colleague's own work list.

Everything hangs off the same lead

Every action works with the lead the search produced. An email or a task therefore never lands on the wrong company, not even when two customers have almost the same name.

Situations from a week in sales

Sales

Situation
A rep has just been on the phone with a customer and has to move on to the next call.
What the agent does
The assistant records the summary against the lead and sets a follow-up task for two weeks out.
Result
The file stays current, even on days when there is no time to open the CRM.

Sales management

Situation
The manager wants to know which leads have been sitting in the same status for a while.
What the agent does
The assistant searches the leads by status and shows the most recent activity on each.
Result
The quiet files surface without anyone having to build a list.

Inside sales

Situation
An email arrives from an existing customer and is not recorded in the CRM anywhere.
What the agent does
The assistant finds the right lead and places the message on the timeline, under the matching contact.
Result
The next colleague who opens the file sees the whole history.

Account management

Situation
For a handover it has to be clear what happened at a customer and what is still open.
What the agent does
The assistant retrieves the lead with its contacts, its latest activities and the open tasks.
Result
A handover in a few minutes instead of an hour of scrolling back.

Recruitment

Situation
An agency uses Close for client companies and wants to know which contacts are known at one of them.
What the agent does
The assistant searches the lead by company name and returns the contacts with their last point of contact.
Result
Outreach is targeted, without two colleagues calling the same person.

Getting started without a detour

  1. 1

A key of your own from Close

You create a key for IntraGPT inside Close. It stays yours and can be revoked at any moment, after which the connector falls silent immediately.

  2. 2

    Choose what the assistant sees

You decide which part of Close takes part: the leads with their contacts and activities. Whatever you do not release never turns up in an answer.

  3. 3

    Read only, or record too

Searching is on by default. Creating a lead, logging an email and setting a task are enabled separately, because they change something colleagues act on.

  4. 4

Set the roles and read along

You decide which teams may use the assistant. Everything it looks up or records is written to the log, so afterwards you can see who asked for which action.

Connected securely

Email traffic and customer contact in one file

Close holds not only who a customer is, but also what was discussed and emailed with them. That makes the file valuable and sensitive at the same time.

Where the data lives: Nederland of de EU

The key stays yours

You create the key yourself and can replace or revoke it yourself. IntraGPT stores no employee password and never works under someone's personal account.

Logging is not sending

Logging an email places the message on the lead's timeline. Nothing goes out to a customer, and there is no action through which the assistant could email on your behalf from Close.

Not for the whole company

You decide which roles may use the sales assistant. An assistant for another department has no way into the leads and therefore never sees the conversation history.

On your own server

The model runs on a dedicated server in the Netherlands. Contact details and conversation history from Close are not sent to an American model provider and are never used for training.

Questions about Close and AI

Can I connect Close CRM to ChatGPT?

ChatGPT has no connection to your Close environment and cannot see the leads. With IntraGPT you ask the same question in a chat, but through a connection to your own CRM. The assistant retrieves only what the question needs and everything it does can be reviewed afterwards.

Does IntraGPT work with Close CRM?

Yes, Close CRM is a working integration already in use at customers. The assistant can search and create leads, log an email against a lead and set a follow-up task. Which of those are switched on is decided during setup.

Does the assistant send the email it logs?

No, and that is an important distinction. Logging an email means the message lands on the lead's timeline so the history is accurate. Nothing reaches the customer. If you want an assistant that genuinely sends mail, that is a different connector you set up separately.

What is the difference between a lead and a contact in Close?

The lead is the company and the contact is the person who belongs to it. One lead can therefore carry several contacts, plus all the emails, calls and tasks. The assistant searches on the lead and works inside it, so activities always land on the right company.

Who does the follow-up task get assigned to?

You decide that in the request. The assistant sets up the task with the wording, the date and the colleague it is assigned to, and that person sees it in their own work list. If you name nobody, it asks rather than picking someone itself.

Can the assistant create leads without us noticing?

No. Creating a lead is a separate capability you switch on deliberately, and even then it only happens after an explicit request. The assistant first shows which company, which contacts and which status it wants to record. Every lead it creates is also written to the log.

What does a Close CRM connector cost?

The connector is part of the project we run together. The work is driven by whether the assistant may record things, which teams get it and whether setting tasks is included. We make that concrete in a short call.

How long does setup take?

Making the connection takes a few minutes. Most of the time goes into deciding whether the assistant may only look on or also record leads, emails and tasks. Once that is settled, the sales team can start asking questions the same day.
