Connecting HubSpot to AI: find contacts and deals without opening a tab

HubSpot CRM can be connected to AI. The assistant looks up contacts, shows which deals sit in the pipeline and in which stage, and can record a contact, a deal or a note. Questions such as who the contact at a customer is, or what was last discussed with them, are answered inside the conversation, without anyone opening HubSpot.

The most common question in a sales team running HubSpot is not a complicated one: is this company already in the CRM, and if so, who spoke to them last. Yet the answer costs a few minutes of searching every time, and it goes wrong just as often. Someone records a contact that already existed, and from that moment two timelines run in parallel for the same customer. An AI connector reverses that order. The assistant first checks whether the person is already known, by name, email address, phone number or company, and shows which deals are attached to them. Only when nothing at all comes back does recording a new contact come into play, and only if you have switched that option on. The same holds for the pipeline: the assistant works with the stages you have set up in HubSpot, not with a scheme of its own, so a deal never lands in a stage that does not exist at your company. Amounts are shown in the currency of your HubSpot environment, so what the assistant reports is what the CRM holds.

Which HubSpot objects the assistant touches

Find a contact again

The assistant looks up a contact by name, email address, phone number or company and shows the details the question calls for. It reports straight away which deals and which recent notes are attached to that contact.

Record a new contact

Someone who is not in HubSpot yet is recorded with the details you give. The assistant checks first whether the person is already known, because a duplicate contact means a split history and two colleagues calling at cross purposes.

See what sits in the pipeline

Ask about the deals in a given stage, belonging to a given owner or around a given customer, and the assistant fetches exactly those. It names the stage, the amount and the owner, so the week starts with a list instead of with filtering.

Create a deal

The assistant can place a new deal in the pipeline, in the stage you use for it. That is a real deal colleagues will see immediately, so it only happens when you ask and after it has shown what it wants to record.

Capture a conversation

A call, an email or a meeting is kept as a note against the right contact or the right deal. That way something ends up on the timeline even when the person who made the call had no time to type it in.

Where sales teams win time

Sales

Situation
An account manager takes a call on the road from a company and does not know whether a file already exists.
What the agent does
The assistant searches on the number and the company and returns the most recent notes on that contact.
Result
The conversation starts from what was already agreed instead of from nothing.

Sales management

Situation
Before the weekly stand-up the manager wants to know which deals sit in the negotiation stage and who owns them.
What the agent does
The assistant retrieves the deals in that stage and orders them by expected close date.
Result
A list in the chat, with the option to drill into any single deal.

Inside sales

Situation
After a trade fair there is a pile of business cards and conversation notes waiting to be processed.
What the agent does
The assistant checks each name against the existing contacts and records only the missing ones, with the note attached.
Result
Follow-up sits in the CRM the same week, without duplicate records.

Customer service

Situation
An agent gets a question about an ongoing project and does not know who owns it on the sales side.
What the agent does
The assistant looks up the contact, reads the related deal and names the owner and the current stage.
Result
The question reaches the right colleague first time.

Marketing

Situation
A campaign produces a list of sign-ups and the question is which of them are already customers.
What the agent does
The assistant checks per sign-up whether the person is already in HubSpot and whether a deal is running.
Result
Follow-up goes to the right people and existing customers are spared a cold email.

From first connection to daily use

  1. 1

    Make the connection

You issue a key for IntraGPT from within HubSpot. That key stays yours and can be revoked at any moment, which stops the connector on the spot.

  2. 2

    Decide what the assistant sees

You choose which part of the CRM takes part: contacts, deals, notes. Whatever you do not release simply does not exist for the assistant.

  3. 3

Read only, or write back too

By default the assistant only looks on. If you want it to record a contact, a deal or a note as well, you enable that separately, and even then it shows what it intends to write first.

  4. 4

Pick the roles and look over its shoulder

You decide which roles or departments may use the CRM assistant. Every action is written to the log, and we set the whole thing up together with your administrator.

Connected securely

Customer data in a CRM the whole company uses

HubSpot holds names, phone numbers and conversation notes belonging to people who have no view of it themselves. That is why the connector is tightly bounded.

Where the data lives: Nederland of de EU

The access stays yours

The key the connector works with is issued by you and withdrawn by you. IntraGPT stores no HubSpot password and never acts under an employee's personal account.

Not every role gets the CRM

You decide which roles may use the CRM assistant. An assistant built for the shop floor or for documents has no way into HubSpot at all.

Only what the question needs

The assistant retrieves the details that belong to the question asked and no more than that. There is no way to request or export the entire contact database in one go.

On your own server

The model runs on a dedicated server in the Netherlands. Contact details and conversation notes from HubSpot are not sent to an American model provider and are never used for training.

Frequently asked questions about HubSpot and AI

Can I connect HubSpot to ChatGPT?

ChatGPT has no connection to your HubSpot environment, and pasting customer data into a public chatbot is unwise. With IntraGPT you chat in the same way, but through a connector tied to your own environment. The assistant retrieves only what belongs to the question and every action can be reviewed afterwards.

Does IntraGPT work with HubSpot?

Yes, HubSpot CRM is a working integration already in use at customers. The assistant can look up and record contacts, view and create deals in the pipeline, and keep a conversation as a note. Which of those are switched on is your decision.

Will the assistant create duplicate contacts?

The connector is built precisely to avoid that. The assistant checks whether the person is already in HubSpot before it records anything. If it finds a match on email address, name or company, it uses that contact. When it cannot establish the match with certainty, it puts the decision to you instead of guessing.

Can the assistant move deals to another stage on its own?

Only if you have enabled writing back, and even then it does not happen by itself. The assistant works with the stages that exist in your pipeline and shows what it intends to record first. Without an explicit request nothing changes in the CRM, and afterwards you can see when and at whose request a deal was altered.

Which currency do amounts come back in?

In the currency of your HubSpot environment. If you work with several currencies, bear that in mind when totals are added up. The assistant does not convert and does not invent an exchange rate, it shows what is recorded on the deal.

Does the assistant see everything in HubSpot?

No. You state in advance which part of the CRM takes part and which details the assistant may see. Anything beyond that stays invisible to it, even if someone asks for it explicitly. That is a deliberate choice your administrator makes and can adjust at any moment.

What does a HubSpot connector cost?

The connector is part of the project we run together. The work is driven by how much of the CRM takes part, whether the assistant may write back and which roles get it. We make that concrete in a thirty minute call.

How long does setup take?

Once the connection with HubSpot stands, switching it on is a matter of minutes. The lead time usually sits in agreeing internally who may set the connector up and which teams may use the assistant. Looking on only is quicker to agree than being allowed to write back.
