Connecting Pipedrive to AI: query the pipeline in plain language
Pipedrive can be connected to AI. The assistant looks up persons, shows which deals are open, won or lost, and can record a new person or schedule an activity on a deal. What is happening in the pipeline becomes a question in the chat instead of a sequence of filter clicks.
The four things the assistant does in Pipedrive
Look up a person or organisation
The assistant finds a person by name, email address or phone number and shows which organisation they belong to. It names straight away which deals and which scheduled activities are attached.
Record a new contact
A person who is not yet in Pipedrive is recorded with a name, email address, phone number and the organisation they belong to. The assistant checks first whether someone is already known, so no second card appears for the same person.
Review the pipeline
Ask for the deals that are open, for what was won or for what was lost, optionally per stage or per colleague. The assistant retrieves exactly those deals, with their value and their owner.
Schedule an activity
A call, a task or an email reminder is set up with a subject, a date, a time and a note, attached to the right deal or person. That only happens when you ask, because colleagues see the activity in their diary straight away.
What a pipeline assistant solves
Sales
- Situation
- At the start of the week a rep wants to know which open deals still have no follow-up appointment.
- What the agent does
- The assistant retrieves that colleague's open deals and reports the latest note on each.
- Result
- The day starts with a short list instead of with filtering.
Management
- Situation
- The board wants to know what was won this quarter and what fell away.
- What the agent does
- The assistant sets the won and the lost deals for that period side by side, with their value.
- Result
- A picture of the pipeline without anyone building a report.
Inside sales
- Situation
- After a phone call a callback has to be scheduled on the right deal, but nobody knows straight away which one that is.
- What the agent does
- The assistant looks up the person, checks which open deal belongs to them and schedules the activity with a date and a note.
- Result
- The appointment sits in Pipedrive before the call has ended.
Marketing
- Situation
- An enquiry arrives through the website and the question is whether this person is already known.
- What the agent does
- The assistant searches on name and email address and only records a new person when nothing at all comes back.
- Result
- A clean CRM and a lead that reaches the right colleague.
Account management
- Situation
- Ahead of a quarterly review it has to be clear what is running at a customer and what was agreed.
- What the agent does
- The assistant looks up the organisation, retrieves the running deals and reads the scheduled activities.
- Result
- A few minutes of preparation instead of half an hour of clicking.
Up and running in four steps
-
1
A key from your own environment
The connector works with a key you create in Pipedrive. It stays yours: rotate it and the old connection is worthless from that moment on.
-
2
Choose who the assistant is
A key belongs to a user and the assistant sees exactly what that user may see in Pipedrive. So you choose deliberately whether it looks on as an account manager or as someone with a view of the whole pipeline.
-
3
Look on only, or record as well
Looking things up and reviewing the pipeline are on by default. Recording a person and scheduling an activity are enabled separately, because those genuinely change something colleagues work with.
-
4
Assign roles and read along
You decide which teams may use the pipeline assistant. Everything it does lands in the log, so afterwards you can see which question led to which action.
Who is allowed to look into the pipeline
Pipedrive holds customer contact details and the value of running negotiations. Both are sensitive, and not everyone inside a company should see them.
Where the data lives: Nederland of de EU
The key stays yours
You create the key in Pipedrive yourself and can replace it at any moment. It never appears in an answer or in the conversation itself.
The rights of one user
The assistant sees exactly what the user behind the key may see, no more. Visibility arrangements and shared deals inside Pipedrive keep working as they are.
Recording happens deliberately
A person or activity the assistant records really sits in the CRM and colleagues will notice it. That is why it shows what it wants to record first and only proceeds once you approve.
On your own server
The model runs on a dedicated server in the Netherlands. Names, phone numbers and deal values from Pipedrive are not sent to an American model provider and are never used for training.
Questions that keep coming up about Pipedrive
Can I connect Pipedrive to ChatGPT?
ChatGPT does not know your Pipedrive environment and cannot look inside it. With IntraGPT you ask the same question in a chat, but through a connection to your own environment. The assistant retrieves only what the question needs, and afterwards you can see exactly what it did.
Does IntraGPT work with Pipedrive?
Yes, Pipedrive is a working integration already in use at customers. The assistant can look up and record persons, review the deals in the pipeline and schedule an activity. Which of those are switched on is decided during setup.
What is the difference between a person and an organisation?
In Pipedrive the organisation is the company and the person is the contact inside it. A deal can hang off either. The assistant uses the organisation field to pick the right person, because the same first name turns up more than once at large customers. When in doubt it puts the choice to you.
Whose rights does the assistant look on with?
Those of the user the connector is attached to, and that is the most important choice during setup. An assistant looking on as an account manager sees the same as that colleague, which suits personal use. For questions about the whole pipeline a user with wider visibility makes more sense. You can also run two connectors side by side with different rights.
Can the assistant schedule activities on its own?
Only if you switch that on. When it is on, a call or task is scheduled only after an explicit request, and the assistant first shows which deal or person it wants to attach it to and on which date. Nothing ever appears unnoticed in a colleague's diary.
Why does the assistant sometimes ask for a sharper question?
Because it works precisely rather than pulling everything. On a very broad question, such as all deals from the past year, it would rather have a stage, a period or a colleague added. That keeps the answer quick and avoids returning a list nobody can act on.
What does a Pipedrive connector cost?
The connector is part of the project we run together. The work is driven by whether the assistant may record things, whose rights it looks on with and whether several teams with their own visibility take part. We make that concrete in a short call.
How long does setup take?
Making the connection takes a few minutes. The rest of the time goes into choosing which user the assistant looks on as and whether scheduling activities is allowed. Once that is decided, the team can start asking questions the same day.
