Connect Trello to AI: cards that end up on the right board
Trello can be connected to AI. The assistant knows which boards exist, reads what is on a board, creates a card in the list you point at, updates a name, description or due date and leaves a comment under a card. Creating and changing touches a board colleagues work on, so it happens on request and never on its own initiative.
Board, list and card in the assistant's hands
Knowing which boards exist
The assistant knows the boards that fall inside the agreed reach. Name a board and it knows which one you mean, so nobody has to go and dig up a link.
Seeing what is on a board
It reads the cards on a board with their list, their due date and whether they are finished. That answers questions such as what is still open this week on the renovation board.
Creating a card in the right list
A card always belongs in a list, so you point at where it goes. The assistant adds the name, the description and, if you want, a date and the colleagues involved.
Updating a card
Name, description and due date can be adjusted, a card can move to another list, and finished work can be archived. Archiving is reversible inside Trello.
A comment under a card
A decision, a piece of feedback or the outcome of a conversation is added as a comment on the card. The discussion stays next to the work instead of in a separate channel or somebody's mailbox.
Situations where the board keeps up
Marketing
- Situation
- After a content meeting seven ideas have been discussed, but by the end of the day nothing has reached the board.
- What the agent does
- The assistant creates a card per idea in the ideas list, with the agreed description and the owner attached.
- Result
- The meeting lands on the board while it is still fresh, instead of in a notebook nobody reads back.
E-commerce
- Situation
- During a product launch the coordinator wants to know what is still open and what has run past its date.
- What the agent does
- The assistant reads the launch board and puts the cards that are past their date on top, with the owner attached.
- Result
- An honest view of the planning without anyone walking the board card by card.
Education
- Situation
- A research group tracks the steps of a grant application on a board and the submission date moves.
- What the agent does
- The assistant updates the date on the cards involved and notes briefly under each one why it shifted.
- Result
- Everyone following the card sees the new date with the reason attached, without a separate email to the group.
Customer service
- Situation
- A recurring complaint belongs with the product team as an improvement point, but the service agent does not know that board.
- What the agent does
- The assistant creates the card in the improvements list and summarises the complaint so the team understands it on its own.
- Result
- Signals from service reach the board structurally instead of getting stuck in a ticket.
Management
- Situation
- Before the weekly meeting somebody wants to know where things stand, but walking three teams' boards takes half an hour.
- What the agent does
- The assistant summarises per board what has been finished, what is running and what has quietly stalled.
- Result
- A short status built on the board itself, ready for the meeting.
How the connection stands
-
1
Switching it on in IntraGPT
The connector is switched on with access from your own Trello account. What you issue yourself, you can withdraw yourself.
-
2
Reach and roles
You decide which boards take part and which roles may use the assistant. You also choose whether it only looks along or may create and update cards.
-
3
What it does and does not see
It sees the boards inside that reach and the cards on them. Another team's board stays out of view, even if somebody names it.
-
4
Traces of every change
Every action sits in the IntraGPT log, and in Trello it appears in the card activity. A created card or a moved due date can therefore be traced from both sides.
A board the whole team can see
Everything the assistant puts on a card is there for everyone with access to that board. That is why the reach is bounded and why every write is a deliberate step.
Where the data lives: Nederland of de EU
Access stays yours
The connector works with access you issue yourself and can withdraw in one move. IntraGPT stores no Trello password.
No further than the agreed reach
Boards that are not included stay invisible to the assistant. There is no way to reach another board by phrasing a question cleverly.
Writing on request
Creating a card, moving a due date or leaving a comment happens after an explicit instruction, and the assistant first shows what it intends to put on the card.
Processing on a server of our own
The content of cards and comments is processed on our own server in the Netherlands. That text does not go to an American model provider and is not used to train models.
Frequently asked questions about Trello and AI
Can I connect Trello to ChatGPT?
ChatGPT has no managed connection to your Trello environment. With IntraGPT you chat the same way, but with a connector that only reaches the agreed boards, only writes on request and whose every action is recorded.
Does IntraGPT work with Trello?
Yes. Trello is a working integration already in use at customers. The assistant reads boards and cards, creates cards in the list you point at, updates them and leaves comments. Which boards take part is agreed during setup.
Does the assistant see all our boards?
No. It reaches the boards inside the agreed reach and no further. If a team keeps a board that has to stay private, it simply falls outside and never turns up in an answer.
Can the assistant create or change cards itself?
Only if you switch that on, and only on an explicit request. It first shows which card it wants to create or change and which list it goes into. If you would rather not, it looks along without ever putting anything on a board.
Can a card disappear?
No, deleting is not part of it. What it can do is archive a card once the work is done, and that is restored inside Trello with a couple of clicks. Nothing is lost for good.
Does it work when we have several teams and boards?
Yes. Per team you agree which boards take part and which employees may use the assistant. That is also how you stop one team's card from turning up in another team's overview.
What does a Trello connector cost?
Connecting sits inside the project we run together. What drives the work is the number of boards, whether the assistant may also create and update and which roles may use it. We make that concrete in the first conversation.
How long does setup take?
Switching it on is quick. The time mostly goes into agreeing which boards fall inside the reach, who may use the assistant and whether writing is allowed. After that the team can work with it the same day.
