Connect Personio to AI: people, absence and vacancies in one conversation

Personio can be connected to AI as a read-only connector. The assistant consults the workforce, reports the absence over a period you name and retrieves the open vacancies from Personio Recruiting. Recording, submitting or approving is not part of it: the connector looks into Personio, but changes nothing there.

In many growing companies Personio sits at the crossing of three things: the workforce records, the absence registration and recruitment. That is convenient, because everything lives in one place. It is also awkward, because anyone who wants to know something has to go into that one place, and not everyone has an account or the time to work out where it is. So questions about staffing, sickness and the state of a vacancy all land with the two or three people who know Personio well. The IntraGPT connector moves those questions into the conversation. Someone who wants to know how many people work in a department or since when somebody has been employed gets it back from the workforce records. Someone who wants to know who is away in a particular week names the period and gets the registered absence. One distinction matters there: leave and sickness are different kinds of absence in Personio. Ask about one and you do not silently get the other thrown in, which is exactly as it should be. Finally the assistant retrieves the open vacancies from Personio Recruiting, so a manager can see which roles are running without disturbing the recruiter.

Which data the assistant takes from Personio

Consult the workforce records

The assistant looks at who works there, in which role and since when, as it is registered in Personio. Questions about the size of a department or about an employment are answered without anyone logging in.

Absence over a concrete period

Name a start and an end and the assistant reports the registered absence in that period. Without a period the question is too broad, so it asks for one instead of assuming something itself.

Keeping leave and sickness apart

In Personio leave and a sickness report are different kinds of absence. The assistant holds on to that distinction, so a question about holidays does not produce sickness figures and the other way round.

Open vacancies from Recruiting

The assistant retrieves which vacancies are open in Personio Recruiting. Handy for a manager who wants to know which roles are running, or for somebody who wants to refer a candidate internally.

Consulting, not changing

The connector reads. Recording leave, reporting sickness, posting a vacancy or adjusting a detail is not possible with it; Personio itself stays the place for that.

How the connection is set up

    The connector is switched on in IntraGPT and linked to your own Personio environment, with access credentials you issue there yourself and can withdraw again.

    In IntraGPT you choose which roles may put the Personio questions. An assistant for all employees can be limited to staffing and vacancies, while HR is allowed to look further.

    What is in reach and what is not

    You decide which of the three subjects take part: people, absence and vacancies. Writing is not in the connector at all, so whatever the assistant is asked, nothing in Personio changes.

What happens with personal data

Personio holds data covered by the GDPR, right down to contract and salary fields. The connector is therefore kept narrow: consult what is needed, and nothing beyond it.

An answer to the question, not the whole file

The assistant returns what was asked. A question about somebody's start date produces that date, not an overview of salary, contract type or performance reviews.

Two kinds of assistant, two kinds of access

An assistant for the shop floor and an assistant for HR are not the same thing. You set per role what may be asked, so sensitive questions are open only to those who ask them professionally.

Traceable who asked what

Every retrieval sits in the log. That is welcome during an internal audit and gives the data protection officer something more concrete than a promise.

On our own server

The model runs on our own server in the Netherlands. Personnel data never leaves that environment and is never used to train a model.

Frequently asked questions about Personio and AI

Can I connect Personio to ChatGPT?

ChatGPT has no connection to Personio, and personnel data is not something you paste into a public chatbot. IntraGPT gives you the same way of asking, but with a connector that only reads, is bounded per role and records who retrieved what.

Does IntraGPT work with Personio?

Yes. Personio is one of the connectors IntraGPT supports as standard: consulting the workforce records, retrieving absence over a period and fetching the open vacancies from Personio Recruiting. All three read-only.

Can the assistant record leave or report sickness?

No. The connector is read-only and cannot register or change anything in Personio. Requesting leave, reporting sickness and approving stays in Personio itself, where it belongs. What the assistant does do is show the registered absence, so a manager sees what is already there before planning anything.

Will we see sickness reports when we ask about leave?

No, and that is deliberate. In Personio leave and sickness are different kinds of absence. The assistant holds on to that distinction and answers the question that was asked. If you want sickness figures you ask for them explicitly, and then it also depends on whether your role has access to them.

Can the assistant do anything with our vacancies?

Only retrieve which ones are open. Posting, editing or closing a vacancy is not possible, and it does nothing with applicants or their details. In practice organisations use this to make running roles visible internally, for instance for a referral scheme.

Will everyone see all personnel data?

No, that is what the roles are for. Most organisations open a broad assistant for questions about staffing and vacancies, and keep everything about an individual with an HR assistant used by a limited group. On top of that the assistant never returns a colleague's details unasked.

What does a Personio connector cost?

The connector is part of the project we run together. The work is driven by which subjects take part, how many roles are distinguished and whether sources other than Personio hang off the assistant as well.

How long does setup take?

The connection is made quickly and can be tested the same day. The lead time sits in deciding who may ask which questions; that is a conversation with HR and sometimes with the works council. Start with staffing and vacancies, which rarely cause debate, and expand from there.
