Connect Nmbrs to AI: find the right payroll administration without clicking

Nmbrs can be connected to AI as a read-only connector. The assistant finds the right administration, shows which employees sit under it, retrieves the details of one person and locates a payslip for a given year and period. It does not mutate anything: starting a payroll run, entering a change or finalising a slip stays work for the payroll administrator inside Nmbrs.

Payroll is work where the question always starts the same way and the search never runs the same way twice. An accountancy or payroll office manages dozens of administrations side by side, sometimes hundreds, and the first step in every question is working out which administration it concerns. Only then comes the employee, and only then the period. On a phone call about a September payslip a few minutes go by before the screen is in the right place, and those minutes add up over a day. An AI connector moves that search step to the front. The assistant finds the administration by name, shows which employees belong to it, retrieves the details of the person in question and locates the payslip for the requested year and period. What it does not do is change anything: there is no mutation in the connector at all. That fits the work, because a payroll administration is a recorded reality with a processing rhythm and a checking step, and an assistant has no business stepping into that. What it does deliver is that the person who has to decide is standing at the right file straight away.

Find the right administration

If an office manages dozens of administrations, the first step is always finding the right one. The assistant looks the administration up by name and then works on inside that one, so client data never gets mixed up.

The employees in that administration

Within the chosen administration the assistant shows which employees there are. That is the quickest route to the right person, even when two administrations both hold someone with the same surname.

The details of one employee

For an employee the assistant retrieves what is registered in Nmbrs, narrowed to what was asked. A question about an employment produces that detail and not a complete overview.

Payslips by year and period

The assistant finds the payslip for a given year and period. That is the direct route to the question that comes in most often: why is the amount different this month compared with last month.

Looking up, not processing

The connector reads. Entering a change, finalising a period or starting a run is not possible with it, so the administration stays exactly as the payroll administrator left it.

Situation
A client calls with a question about last month's slip, and the employee first has to work out which administration that client falls under.
What the agent does
The assistant looks up the administration and the employee and brings in the slip for the requested period.

Situation
To check a period the administrator wants to know which employees sit in an administration and which slips were produced.
What the agent does
The assistant lists the employees of that administration together with the slips for the period concerned.
Result
The check starts from a complete picture and the administrator enters the corrections in Nmbrs themselves.

SME with in-house payroll

Situation
An employee asks the office manager why their net pay differs this month.
What the agent does
The assistant retrieves that employee's slip for the period and points out which item differs from the previous one.
Result
A tailored explanation, without a complete pay overview having to be shared or forwarded.

Management

Situation
After an acquisition the board wants to know how many people sit in the acquired administration and in which roles.
What the agent does
The assistant consults the employees of that administration and returns the picture as it stands in Nmbrs.
Result
An answer from the source, instead of an estimate that keeps circulating in meetings.

    The connection to Nmbrs

    The connector is switched on in IntraGPT and linked to Nmbrs with a key you issue there yourself. That key can be withdrawn again, after which the assistant can immediately do nothing with it.

    You decide in IntraGPT which roles may use the payroll assistant. In an office that means in practice: the people who run the administrations, and nobody outside that group.

    What the assistant can and cannot do

    It can look things up, it cannot process. Within looking up you also choose what takes part: if you want employee details but no payslips, the slips stay outside the connector.

    Every retrieval lands in the log with the person who asked, the administration and the outcome. With payslips that is the proof nobody coloured outside the lines, and it is exactly what an audit asks for.

Payslips are not ordinary data

A payslip says something about somebody's income, allowances and personal situation, and is nobody else's business. That is why this connector is kept narrower than would be technically possible.

Only for those entitled to it

The payroll assistant is open to the people who run the administrations and to nobody else. An employee gets no sight of a colleague's slip through a general assistant.

A partial answer where that is enough

If the question is about one item on the slip, the answer is about that item. Reproducing a complete payslip in a conversation happens only when that is genuinely the question.

Every retrieval can be traced

The log shows which administration and which period were retrieved and by whom. With payroll data that is not an extra but the heart of the story towards your clients.

On our own server

The model runs on our own server in the Netherlands. Payroll data is not sent to an American model provider and is never used to train a model.

Questions about Nmbrs and IntraGPT

Can I connect Nmbrs to ChatGPT?

ChatGPT has no connection to Nmbrs, and clients' payroll data does not belong in a public chatbot. IntraGPT works the same way in a conversation, but with a connector that only looks things up, is bounded per role and records for every retrieval who asked and which administration it concerned.

Does IntraGPT work with Nmbrs?

Yes. Nmbrs is one of the connectors IntraGPT supports as standard: looking up administrations, viewing the employees within them, retrieving the details of one employee and finding a payslip for a year and period. All of it read-only.

Can the assistant enter a change or start the payroll run?

No. The connector is read-only. Changes, corrections and finalising a period stay work for the payroll administrator inside Nmbrs. That is a deliberate choice: payroll processing has its own rhythm with checking steps, and an assistant that altered something in between would make that rhythm unreliable.

Can just anybody request a payslip?

No. You decide which roles may use the payroll assistant, and in practice that is a small group. A broad assistant for the whole organisation is never offered this connector at all. On top of that, for a partial question the assistant gives a partial answer rather than returning a complete slip by default.

Does it work if we manage several administrations?

Especially then. An office with dozens of administrations is the most common case, and finding the right administration is the first step the assistant takes. After that it keeps working inside that administration, so data from two clients never ends up in one answer.

Can we withdraw the connector again?

Yes. In IntraGPT you switch the connector off and the assistant can immediately do nothing with it. On top of that the key can be withdrawn on the Nmbrs side, which closes the connection for good. Both steps are reversible without anything changing inside the administrations.

What does an Nmbrs connector cost?

The connector is part of the project we run together. The work is driven by the number of administrations, whether payslips take part and how the roles are divided between the people in the office.

How long does setup take?

The connection is made quickly and can be tested the same day. The time goes into agreeing who may use the payroll assistant and whether payslips are part of it. Many offices start with looking up administrations and employees, and add the slips later.
