Connecting Freshsales to AI: contacts, accounts and deals in one conversation
Freshsales can be connected to AI. The assistant finds contacts by name, email address or phone number, shows the account and the deals that belong to them, and can record a new contact or a new deal. Questions about the pipeline are answered with the stage and the expected closing date included. Whether it may record anything is yours to decide.
What the assistant does for you in Freshsales
Find a contact
You mention a name, an email address or a phone number and the assistant finds the matching person. You do not have to know exactly how the record was spelled or which list it ended up in.
See what is attached to that person
For a contact it found, the assistant shows which account it belongs to and which deals are linked to it. That gives you the full picture of a relationship in one answer instead of three screens side by side.
Record a new contact
If somebody really is not in Freshsales yet, the assistant records the contact with the details you provide. It checks first whether the record exists under a different spelling, so no duplicates appear.
Put an opportunity in the pipeline
A new deal lands in the pipeline and is immediately visible to the rest of the team. Because it counts towards the forecast, the assistant shows what it intends to record and waits for approval.
Answer pipeline questions
Deals in Freshsales carry a stage and an expected closing date. With those the assistant answers questions such as what can still land this month and which opportunities have sat in the same stage for too long.
How a sales team puts it to work
Account management
- Situation
- Just before a call the account manager wants to know what is going on with this relationship and whether a deal is already running.
- What the agent does
- The assistant finds the contact, names the account it belongs to and the open opportunity with the stage it sits in.
- Result
- Preparation happens inside the conversation instead of a quarter of an hour of clicking beforehand.
Sales support
- Situation
- After a trade fair there is a stack of business cards and nobody knows which of those relationships are already in the CRM.
- What the agent does
- The assistant checks by name and email address whether the contact exists and records one only where it does not.
- Result
- The new names are in the system without the duplicates somebody has to clean up later.
Sales management
- Situation
- In the weekly pipeline review the manager wants to know which deals are expected to close this month.
- What the agent does
- The assistant lists the deals with their stage and their expected closing date, ordered by date.
- Result
- The meeting starts with the substance rather than with assembling a list.
Inside sales
- Situation
- An existing customer emails asking for an expansion and that needs to become a sales opportunity.
- What the agent does
- The assistant finds the contact person, proposes the details of the deal and records it only once the employee approves.
- Result
- What was discussed is in the pipeline the same day, with no retyping.
Getting it ready for the sales team
-
1
Make the connection
From Freshsales you issue your own key for the connector. That key stays yours and can be withdrawn at any moment, which stops access immediately.
-
2
Decide what the assistant may do
By default the assistant only looks. If you want it to record a contact or a deal as well, you enable that separately. Whatever is off, it cannot use.
-
3
Choose who uses it
You decide which roles or departments may work with the sales assistant. Colleagues with nothing to do with the CRM are simply never offered it.
-
4
Review and adjust
Every action lands in the log, so it stays clear what was requested or recorded and by whom. We set it up together, so the agreements about recording are right from the start.
Customer data inside a CRM
Freshsales holds names, email addresses, phone numbers and whatever was discussed with a relationship. That is personal data, so the connector is deliberately kept narrow.
Where the data lives: Nederland of de EU
Access stays yours
Access is issued inside your own Freshsales environment and can be removed there as well. No employee password is kept anywhere.
Not for every employee
You decide who may work with the CRM assistant. An assistant built for the shop floor or the service desk is simply never shown the customer data from Freshsales.
Everything is traceable
For every question and every recorded deal the log shows when it happened and who asked. If something turns up in the CRM that nobody expected, its origin is immediately clear.
On a dedicated server
The model runs on a dedicated server in the Netherlands. Customer data from Freshsales does not travel to an American model provider and is never used for training.
Frequently asked questions about Freshsales
Can I connect Freshsales to ChatGPT?
ChatGPT has no built-in connection to Freshsales, and pasting customer data into a public chatbot is a poor idea. IntraGPT gives you the same chat experience with a connector that only looks inside your own environment and that you can withdraw yourself. Everything the assistant does lands in the log.
Does IntraGPT work with Freshsales?
Yes. Freshsales is in the IntraGPT list of connectors and is in use with customers. The assistant finds contacts, shows the related account and deals, and can record a contact or a deal if you allow it.
Is this the same as a Freshdesk connector?
No, those are two different Freshworks products. Freshsales is about contacts, accounts and deals; Freshdesk is about support tickets. If you use both, they are two connectors side by side and you decide per connector who may use it.
Why does the assistant get no data back?
The connector belongs to one Freshsales environment. If access has been withdrawn, has expired, or belongs to a different environment than the one the team works in, nothing comes back. An administrator then issues access again and the assistant works as it should.
Can the assistant do everything in Freshsales?
No, and that is deliberate. The focus sits on contacts, accounts and deals, because that is what most questions are about. Other parts only come along insofar as they hang off a contact that was found. If something your team needs daily is missing, tell us and we will look at what is possible.
Should we enable recording of deals at all?
That is a choice you make yourselves. Looking only is the calmest option and already answers most questions. If you do enable recording, the agreement is that the assistant proposes first and puts something in the CRM only after approval, so no opportunity appears in the forecast that nobody recognises.
What does a Freshsales connector cost?
Connecting is part of the project we run together. The work is driven by whether the assistant only looks or may also record, how many other sources join, and which roles may use it. Half an hour of conversation makes that concrete.
How long does setup take?
Once access is arranged, the connector is live quickly. The lead time usually sits in agreeing internally who issues that access and which colleagues may work with the sales assistant. Those are decisions for one meeting, not a project of weeks.
