Connecting Apollo.io to AI: a prospect list that actually holds up
Apollo.io can be connected to AI. The assistant searches the prospect database for people and companies, fills in the missing contact details behind a known name, and shows which email campaigns are running. One thing to keep in mind: Apollo holds external companies and people, not your own customers. Putting somebody into a running campaign reaches the outside world, so you enable that separately.
What the Apollo.io connector delivers
Find prospects by role and industry
You describe who you are looking for: the job function, the industry and the region. The assistant comes back with people who match, including the company they work for, so you can judge the list straight away.
Pick the right companies first
Sometimes you would rather start with the company: a particular sector, a particular size, a particular area. The assistant puts that selection down and only then looks at who holds the role you want to reach.
Complete contact details
If you only have a name and a company, the assistant fills in whatever else Apollo holds on that person. A half-filled row from an attendee list becomes a usable contact after all.
See which campaigns are running
The assistant shows which email campaigns exist in Apollo and what they are called. Useful for checking which series belongs to which audience before anyone is attached to it.
Add somebody to a campaign
A prospect can be placed into a running email campaign. That really sends mail on your behalf, so it happens only on explicit request and with the campaign in question named out loud.
Never a broad search
The assistant always searches on a combination of characteristics, never on a single keyword. That is the difference between a list the sales team gets to work on and a file nobody opens.
Prospecting in practice
New business
- Situation
- There is a new proposition for a specific industry and the team needs a list of the people who decide there.
- What the agent does
- The assistant first finds the companies in that industry with the right size in the right region, then looks at who holds the relevant role.
- Result
- A bounded list the salesperson can stand behind, instead of a file they have to spend a day trimming.
Marketing
- Situation
- For the attendees of a webinar only the name and the company are known and nothing else.
- What the agent does
- The assistant completes the attendees one by one and says honestly for whom nothing was found.
- Result
- Follow-up goes to the people who can actually be reached, and the rest stays visible as an open item.
Recruitment
- Situation
- For a hard-to-fill role the recruiter is looking for people with a particular title in a particular region.
- What the agent does
- The assistant searches on role and area and returns the hits with the company they work for.
- Result
- A first longlist inside the conversation, with no filtering in a separate tool.
Sales management
- Situation
- The manager wants to know which email campaigns are running before new names are dropped into them.
- What the agent does
- The assistant names the campaigns, so it is clear which series belongs to which audience.
- Result
- No prospect accidentally lands in the wrong email series.
Setting up and setting limits
-
1
Make the connection
From your own Apollo account you issue a key for the connector. It stays yours and can be withdrawn there as well, after which the assistant can do nothing with it.
-
2
Decide how far it may go
Searching and completing details touch nobody and can be on straight away. Putting somebody into an email campaign is another matter, because it reaches outwards. That act is enabled separately or left off.
-
3
Choose who may use it
You decide which roles or departments work with the prospecting assistant. Usually that is a small group: sales, marketing and sometimes recruitment.
-
4
Agree the audience together
During setup we agree which roles, industries and regions apply by default. Every action then lands in the log, so it stays clear where a list came from.
Prospect data and the GDPR
Apollo holds personal data about people who are not your customers and never gave permission for it. That calls for tighter handling than your own CRM does.
Where the data lives: Nederland of de EU
Access stays yours
Access is arranged inside your own Apollo account and can be removed there at any moment. No employee login or password is kept anywhere.
No automatic flow-through
The connector puts nothing into your own CRM. Whatever comes out of Apollo stays a search result inside the conversation until somebody makes a decision about it.
A campaign really sends
Putting somebody into an email series means mail goes out on your behalf. That is why the act stands apart, why the assistant names the campaign first, and why the log shows who asked for it.
On a dedicated server
The model runs on a dedicated server in the Netherlands. The names and details coming out of Apollo do not travel to an American model provider and are never used for training.
What people want to know about Apollo.io
Can I connect Apollo.io to ChatGPT?
ChatGPT has no built-in connection to Apollo.io. IntraGPT gives you the same chat experience with a connector that runs on your own access and always bounds the search. Every action lands in the log, so it is clear afterwards where a list came from.
Does IntraGPT work with Apollo.io?
Yes. Apollo.io is in the IntraGPT list of connectors and is in use with customers. The assistant finds people and companies, completes contact details and shows the running email campaigns. Actually adding somebody to a campaign is a separate choice.
Is Apollo a CRM?
No, and that is the main misunderstanding. Apollo is a prospect database: what you find there are external companies and people, not existing customers with a history. The assistant therefore presents hits as cold leads rather than relationships. Check them against your own CRM before anyone is approached.
Why do I sometimes get an unusably long list?
Then the search was too broad. Apollo happily returns a lot, and without a sharp boundary you end up with a list nobody reads. The agreement inside the connector is to always search on a role plus an industry or a region. Ask something broad anyway and the assistant proposes a narrower boundary first.
May the assistant put people into an email campaign itself?
Only if you enable it. While it is off it can show the campaigns but add nobody to them. While it is on, it first names the campaign it wants to use and which people are involved, and only then does anything happen. It is a choice you make deliberately.
What if Apollo holds no details on somebody?
Then the assistant says so rather than inventing something. A prospect database is never complete, and especially at smaller companies or after a recent job change plenty is missing. Those gaps stay visible, so the team can decide for itself whether chasing further is worth the effort.
What does an Apollo.io connector cost?
Connecting is part of the project we run together. The work is driven by how many audiences have to be recorded, whether adding to campaigns is allowed, and which roles may use the prospecting assistant. The Apollo subscription itself you arrange directly with them.
How long does setup take?
Once access is arranged, the connector is in place quickly. The real work sits in agreeing the audience: which roles, which industries and which regions. That boundary is the difference between a usable list and noise, and it is worth taking the time for together.
