Connecting Copernica to AI: databases, profiles and subprofiles in plain language
Copernica can be connected to AI. The assistant first looks at which marketing databases exist and how they are arranged, then adds a profile or updates an existing one. It can also send a mailing, and that is the heaviest thing this connector does: a mailing goes out to a whole target group at once and cannot be recalled, so it happens only on explicit request and after the target group has been confirmed.
What the assistant does in Copernica
See which databases exist
Request the available marketing databases with the fields they hold. That is not only a first step for the assistant, it also gives an immediate overview to anyone wondering what is actually recorded.
Add a profile
Record a new profile in the right database, in the fields that exist there. Because the assistant reads the arrangement first, an address or a preference ends up in the box where you would put it too.
Update a profile
Adjust the details of an existing profile, for instance a changed address or a different preference. That is a real change in the marketing file, so the assistant shows what it intends to change before doing it.
Send a mailing
Let an email campaign go out to a target group in the database. This is irreversible and touches many people at once, so it happens only on explicit request and only after the target group and the mailing have been confirmed.
Where Copernica customers put this to work
Retail
- Situation
- A customer calls to ask why she is not receiving the offers mail for her own branch.
- What the agent does
- The assistant looks the profile up, checks how the branch field is filled in that database and reports what is off.
- Result
- The employee can explain it on the spot and have it corrected if needed, without disturbing a colleague in marketing.
Municipality
- Situation
- A resident wants to unsubscribe from one newsletter but keep receiving the other.
- What the agent does
- The assistant retrieves the profile, shows the preferences as they stand in the database and adjusts the right one on request.
- Result
- A request that would otherwise have sat for a week is handled within the phone call.
Wholesale
- Situation
- An account manager wants to know what a customer ordered recently before visiting.
- What the agent does
- The assistant retrieves the profile with the subprofiles hanging under it and summarises the orders.
- Result
- Preparation in a few sentences instead of a printout somebody has to produce by hand.
Charities
- Situation
- A campaign has to go out and the coordinator wants to be sure he has the right target group.
- What the agent does
- The assistant shows which group and which mailing it concerns, and only sends once the coordinator confirms.
- Result
- The send goes out deliberately, with a recorded moment at which somebody gave approval.
Connecting to Copernica
-
1
Connecting through the platform
An administrator grants IntraGPT access to the Copernica account and switches the connector on. That access can be withdrawn at any moment, and the connector stops immediately.
-
2
Setting permissions
You decide which databases take part, which roles may consult and update, and whether sending is allowed to be on at all. Many organisations deliberately leave that last part off and keep sending inside Copernica.
-
3
Using the assistant
After that you ask your question in plain language: is this customer in there, what is recorded about them, update this address. The assistant looks at the arrangement of the database first and acts only then.

Following along in the log
Every consultation, every change and every send lands in the log. For a sent mailing you can trace which target group it concerned, when it happened and who gave approval.
Sending reaches many people at once
A mailing in Copernica is not a message to one person but to an entire target group, and it cannot be recalled. That makes this the part where the agreements have to be tightest.
Where the data lives: Nederland of de EU
A mailing cannot be recalled
The assistant never sends on its own initiative. It first names the mailing and the target group, waits for an explicit confirmation and records who gave it. If you do not want this risk at all, you leave sending switched off.
Read the arrangement first
Because the fields are arranged differently in every database, the assistant looks first at what yours is like. That keeps data out of a field where it does not belong and prevents a wrong selection later.
You decide who has access
Consulting, updating and sending are three different rights and they need not sit with the same people. An employee on the phone gets by on consulting alone.
Processing on our own server
The data from the marketing database is processed on our own server in the Netherlands with open-weight models. None of it is used to train a model.
Questions about the Copernica connector
Can I connect Copernica to ChatGPT?
That would mean a public service getting access to a marketing database with personal data and to the ability to send campaigns. For an organisation that cannot be justified. IntraGPT connects Copernica inside your own environment, with rights per role, a log per action and processing on our own server.
Does IntraGPT work with Copernica?
Yes. Copernica is in the connector catalogue and in use at customers. The assistant can consult the databases, add and update profiles and, if you switch it on, send a mailing.
What exactly is a subprofile?
A subprofile is a detail that hangs under a profile and can occur more than once. For a customer those are the individual orders, for a participant the registrations per event. A profile stays one person, while everything that person did sits neatly underneath. That is exactly what makes Copernica different from a flat address list.
Why does the assistant look at the arrangement of the database first?
Because the fields are named and meant differently at every Copernica customer. What is a branch field here is a preference field elsewhere. Without that step the assistant could put a value in the wrong field, and you would only notice when a selection goes wrong. The extra step takes a moment and prevents that kind of error.
Can the assistant really send a mailing?
Yes, if you switch it on. It concerns a real campaign to a real target group, and once sent it cannot be recalled. That is why the assistant first names which mailing and which target group it has in mind and waits for confirmation. Many organisations choose to consult and write only, and to keep the sending inside Copernica.
How do I know the right target group is chosen?
Because the assistant names the target group before anything goes out, in the terms of your own database. You therefore see which selection it concerns and how many people are in it before you approve. What was sent afterwards and on whose approval is in the log, so it can be checked later too.
What does a Copernica connector cost?
Connecting is part of the project we run together. The work is determined by the number of databases, how unusual their arrangement is, and whether writing and sending are allowed alongside consulting. The Copernica subscription simply continues.
How long does setting it up take?
The connector is in place quickly and a first question about the databases can be tested the same day. The lead time goes into going through the arrangement: which fields mean what, which databases take part and who will be allowed to have something sent.
