Connecting ActiveCampaign to AI: contacts, tags and deals without a detour
ActiveCampaign can be connected to AI. The assistant looks contacts up, records a new contact or completes an existing one, applies a tag, reads back what campaigns went out and can put a deal in the pipeline. Applying a tag is no innocent act here: automations can hang off it, so it happens only on explicit request and once it is clear what will start running.
What the assistant does in ActiveCampaign
Look a contact up
Search on email address, on name or on tag, and report back what is known. This is the first step behind almost every question, because everything that follows concerns a contact that either already exists or does not.
Record or complete a contact
Enter a new contact or update the details of an existing one, using the fields configured in your account. Because the assistant searches first, it completes rather than duplicates.
Apply a tag
Attach a tag to a contact. In ActiveCampaign that often starts an automation, so the consequence can be a whole mail sequence rather than a label in an overview. The assistant names that first.
Read back what went out
Request the campaigns that have been sent, with the results belonging to them. That way someone knows before a phone call which mail a customer recently received.
Put a deal in the pipeline
Create a sales opportunity on a contact. That genuinely changes the system the sales team steers on, so it happens only when somebody asks for it and after the details have been shown.
Situations where this makes the difference
B2B industry
- Situation
- At a trade fair the team collects business cards, and afterwards somebody types them into the system a week later.
- What the agent does
- The assistant checks per address whether the contact already exists, fills in what is missing or records the contact, and applies the fair tag once agreed.
- Result
- Follow-up starts while the conversation is still fresh, and nobody ends up in the file twice.
Real estate
- Situation
- An estate agent has a serious prospect on the phone and wants to record it before the call ends.
- What the agent does
- The assistant looks the contact up and, on request, creates a deal in the right pipeline with the property attached.
- Result
- The opportunity sits in the system instead of on a sticky note, without anyone opening a screen.
Training providers
- Situation
- A participant asks whether they can receive the announcements for the autumn courses.
- What the agent does
- After the participant confirms, the assistant applies the tag belonging to that series, having first shown which automation is attached to it.
- Result
- The sign-up runs through the existing automation, with the certainty that no other series starts by accident.
Inside sales
- Situation
- Someone in inside sales wants to know what was sent to a customer segment last month before picking up the phone.
- What the agent does
- The assistant retrieves the campaigns, picks out the sends that touched this segment and summarises the content.
- Result
- The call does not open with a question the customer already had answered by email.
Connecting to your ActiveCampaign
-
1
Connecting through the platform
An administrator grants IntraGPT access to the ActiveCampaign account and switches the connector on. That access can be withdrawn at any moment, and the connector stops immediately.
-
2
Setting permissions
You decide which roles may look up, which may record and who may have a deal created. This is also where you record which tags the assistant may apply and which it may not.
-
3
Using the assistant
After that you ask your question in plain language: is this customer in there, what did they receive, record this conversation. The assistant gets the answer from ActiveCampaign at that moment.
-
4
Following along in the log
What was requested and what was recorded lands in the log. For an applied tag or a created deal that makes it traceable when it happened and at whose request.
Why a tag is the heaviest point here
In most systems a label is a label. In ActiveCampaign a tag can set a mail sequence running towards somebody who never asked for it, and that cannot be undone once the first message has gone out.
Where the data lives: Nederland of de EU
A tag is a button
The assistant applies a tag only on explicit request and names which automation is attached to it. If that is not known, it applies nothing and asks for clarity first.
Consent for a sequence, not for a record
Adding or tagging someone in this system usually means mail will follow. Consent therefore covers the whole sequence that runs afterwards, not the storing of an address. That is the conversation held up front.
You decide who has access
Reading and writing are two different rights and you assign them to different roles. An employee who may only look things up cannot change anything in the marketing system.
The model runs with you
The contact data from ActiveCampaign is processed on our own server in the Netherlands with open-weight models. None of it is used to train a model.
Frequently asked questions about ActiveCampaign and AI
Can I connect ActiveCampaign to ChatGPT?
For an organisation that is a risk with little return. You would give a public service access to a system in which contacts can be created and tagged, while automations hang off those tags and send real mail. IntraGPT connects ActiveCampaign inside your own environment, with rights per role and a log, and with a model that runs on our own server.
Does IntraGPT work with ActiveCampaign?
Yes. ActiveCampaign is in the connector catalogue and in use at customers. The assistant looks contacts up, records or completes them, applies tags, reads campaigns back and creates deals in the pipeline.
What happens if the assistant applies a tag that has an automation attached?
That automation starts, exactly as it would if an employee applied the tag by hand. It may mean a mail goes out immediately or that a sequence of several messages begins. That is why we map out during setup which tags start something, and why the assistant shows this before applying a tag.
Can the assistant see what happens inside an automation?
Not in substance. It can read contacts and sent campaigns back, but what exactly has been built inside an automation you review in ActiveCampaign itself. That is why during setup we record which tags kick off an automation, so the assistant knows that without having to read the build.
Can the assistant create a deal in the pipeline?
Yes, it can. The deal lands in the ActiveCampaign pipeline and is therefore visible to the sales team. Because this is a real change in the system people steer on, it happens only on request and the assistant first shows the details it intends to record. If you would rather not have that, you leave the option switched off.
Does the connector create duplicate contacts?
Not if the order is respected. The assistant searches on the email address first and completes a found contact instead of creating a new record. Only when genuinely nothing is found does it record a contact. Duplicates that were already in the system before the connector existed will not resolve themselves.
What does an ActiveCampaign connector cost?
Connecting is part of the project we run together. The work is determined by whether it stays read only or also writes, how many tags there are and how many of them start something, and which roles may create deals.
How long does setting it up take?
The connector is in place quickly, and a read question can be tested the same day. What takes longer is walking through the tags and the automations, and rightly so: that conversation prevents mail going out to customers unintentionally.
