Connecting Brevo to AI: mail, SMS and contacts in one conversation

Brevo can be connected to AI with a key from your own account. The special part is the combination: the assistant can send an email, send an SMS and look up or create contacts, all from the same conversation. Mail and SMS reach real recipients directly and an SMS costs money, so both happen only on explicit request. Adding somebody to a list touches consent and is switched on deliberately.

Brevo, known for years as Sendinblue, is where three things come together that usually live in separate systems: the mail that goes to customers, the text message for when it really has to be fast, and the contact file both draw on. That is exactly why an AI connector feels different here than with a mailer alone: in one conversation the assistant can look up who somebody is, send them a message and update their details. With that comes responsibility. An SMS lands on a phone in somebody's pocket and is nearly always read, and every message costs money at Brevo. Creating a contact or adding one to a list is not an administrative act but a decision about marketing towards that person. The connector is therefore arranged so that the assistant first checks whether somebody already exists before a new contact is added, names the number it would text, and sends nothing unless explicitly asked.

What the assistant can do in Brevo

Send an email

The assistant drafts the message or uses a Brevo template and sends it to the recipient you name. That reaches a real mailbox directly, so it first shows the recipient, the subject and the text.

Send an SMS

For messages that cannot wait, the assistant can text from the sender name you use. It always states the number and how many messages are involved, because every message costs money and genuinely arrives.

Look up a contact

The assistant searches on email address or retrieves a selection of contacts, the recently changed ones for instance. That is also the first step before it creates anything, so the same person does not end up in the file twice.

Create or update a contact

A new contact can be added with the attributes you use, and an existing one can be updated. That happens only on request, because it touches who will receive post from you later.

Work with your own lists

In Brevo contacts belong to lists, and that arrangement decides who receives which campaign. The assistant uses the lists you already have and always names which list somebody ends up in.

Where the combination of channels helps

Retail

Situation
An order is ready for collection but the customer does not respond to mail and the branch does not want the box sitting there for three days.
What the agent does
The assistant looks up the contact, sends a short text with the collection details and notes it on the contact.
Result
More orders collected within the agreed window, without anyone retyping numbers by hand.

Real estate

Situation
A viewing has been moved and the candidate needs to know before getting into the car.
What the agent does
The assistant drafts the message with the new time and presents it, after which it goes out as a text or as mail.
Result
The message arrives on the channel people actually read, and the agent does not have to call around.

Customer service

Situation
Someone calls with a question and the employee does not know whether this person is already in the file, or under which address.
What the agent does
The assistant searches on the email address and shows which details and which lists belong to that contact.
Result
No duplicate contact created and immediate clarity on which messages this person already receives.

Membership organisation

Situation
After an event the details of new sign-ups have to reach the file, in the right list.
What the agent does
The assistant checks per sign-up whether the address is already known and adds only the new ones, to the list that belongs with it.
Result
A clean file after a busy week, without an afternoon of retyping.

Connecting and making agreements

  1. 1

    Connect with your own key

The connector uses a key from your own Brevo account. Withdraw that key in Brevo and the connector stops in the same moment.

  2. 2

    Enable channels separately

Mail, SMS and contact management are separate capabilities. Many organisations start with looking up only, then enable mail and leave SMS off for a while because it carries cost.

  3. 3

    Agree who may do what

You decide which roles may use the assistant and who may ask for a send. Who may create contacts is a separate agreement, because it touches consent.

  4. 4

Use it and account for it

From then on it runs through the conversation. The log keeps which message went to whom and which contacts were changed, so nobody has to guess afterwards.

Connected securely

Messages cost money and contacts are people

This is a connector where a wrong move costs money at once and arrives with somebody at once. That is why nothing happens without being shown first.

Where the data lives: Nederland of de EU

Consent comes first

Creating somebody or adding them to a list means that person may start receiving your marketing. The assistant never does that on its own, and the list is always named.

Nothing goes out unseen

Before a mail or a text the assistant shows the recipient, the number or address and the full message. Without an explicit request it sends nothing, and sent messages cannot be withdrawn.

Who can reach which data

A contact file consists of personal data: names, addresses, phone numbers and whatever else you keep with them. Which roles may reach that is up to you.

Processing on your own server

Everything that passes through the conversation, from text to contact details, is processed on our own server in the Netherlands with open-weight models. Those details do not leave that environment and serve as training material nowhere.

Questions about the Brevo connector

Can I connect Brevo to ChatGPT?

That would place access to your contact file and to a channel that can send mail and SMS with a public service, without roles and without an audit log. IntraGPT keeps the key in your own environment, lets you decide per role who may ask for what and records every action. The model runs on our own server.

Does IntraGPT work with Brevo?

Yes. Brevo sits in the catalogue as a working integration. The assistant can send an email, send an SMS, look up contacts and create or update a contact, using a key from your own account.

Can the assistant really send SMS?

Yes, if you enable it. A text lands on a real person's phone and is almost always read, which makes it powerful and risky at once. The assistant therefore always names the number and how many messages it would send, and sends only after somebody has explicitly asked. Many organisations leave SMS off at the start.

How do we avoid duplicate contacts?

The assistant first searches on the email address before creating a contact. If that person already exists, it updates the existing details instead of adding a second row. That is exactly the mistake manual entry does make, and that later pollutes your lists and your figures.

May the assistant add someone to a marketing list?

Only when you have enabled that capability, and even then only when somebody asks in so many words. Putting someone on a list decides which campaigns that person will receive, and that is a consent question that belongs to you, not to the assistant. It always names the list involved, so whoever asks knows what they are setting in motion.

Our environment is still called Sendinblue, does that work?

Yes. Sendinblue was renamed Brevo and it is the same platform with the same account. If the old name still appears in your own documentation or in older screens, nothing about the connector changes. The catalogue lists the software as Brevo with the old name alongside for recognition.

What does a Brevo connector cost?

The connector is part of the project we run together. What drives the work is which channels you enable, whether contacts may only be read or also created and which roles may have messages sent. The messages themselves, SMS in particular, are billed at Brevo according to your own rate there.

How long does setup take?

Connecting is a short action for an administrator and it can be tried the same day. The time goes into the agreements: which lists the assistant may use, who may ask for a text and whether contacts may be created. That conversation is worth having, because those choices decide what reaches your customers.
