Connect Wrike to AI: answers from the project folders of your organisation

Wrike can be connected to AI. The assistant knows the folders and projects in your environment, pulls the tasks that belong to the question and tells you where things stand and who holds them. On request it records a new task in the folder you designate, with a responsible person and a date.

Wrike is usually run by organisations large enough to have invented an arrangement of their own. Folders per department, projects per customer or per programme, and the tasks underneath. That arrangement was set up with care once, but it grows along with the organisation, and after a few years only the project support officer still knows exactly where everything sits. Every question about progress therefore lands with that same person, or with a report somebody has to maintain by hand. An AI connector moves that into the conversation. The assistant finds the folder or project in question, pulls the tasks that matter and answers in plain language: what is still running, what is finished and who is responsible. It keeps to the folder the question is about, so the answer covers one programme rather than everything in the environment. If you want to record something, the assistant can put a task in the folder you designate. What happens with it afterwards stays the work of the people who run the project.

What the assistant looks up in the Wrike folders

Folders and projects in view

The assistant knows the folders and projects of your environment. With those it finds the programme a question is about, even when someone only mentions the customer name or the project name.

Request tasks inside a folder

Inside the folder it found, it pulls the tasks that belong to the question. It keeps the question bounded to that folder, because untargeted searching in a large environment produces a list nobody can use.

Checking who holds what

Tasks have a responsible person. The assistant can narrow the question to one colleague, for instance to see what is already on their plate before new work is added.

Telling running from finished

It pays attention to the status of a task, so a question about what still has to happen does not fill up with work that was completed last quarter.

Record a task in a folder

A new task always lands in a folder or project, with a title, a description, a responsible person and the dates. The assistant records it only after you have approved those details.

Where larger organisations benefit

Government

Situation
A department head wants to know for the team meeting which programmes are due this month.
What the agent does
The assistant goes through the projects of that department and adds the running tasks with their responsible person.
Result
An up-to-date picture inside the meeting, without anyone compiling a report beforehand.

Real estate

Situation
During a building programme a client asks how the handover is coming along.
What the agent does
The assistant finds the folder of that project and reads out the open tasks and the schedule.
Result
The project manager answers directly instead of after consulting project support.

Facilities

Situation
An inspection round surfaces three defects that belong in the maintenance programme.
What the agent does
The assistant proposes a task per defect in the right folder, with a responsible person and a target date.
Result
The reports are registered the same day instead of sitting in an email that stalls.

Programme management

Situation
For the quarterly report it has to be clear what was completed per project.
What the agent does
The assistant goes past the folders involved and separates completed from running tasks.
Result
The report starts from a substantiated draft instead of an empty document.

Putting it to use

  1. 1

    Make the connection

You enable Wrike inside IntraGPT and grant the connector access to your environment. Your administrator grants that access and ends it.

  2. 2

Choose the folders that take part

You determine which folders and projects fall within reach. Departments that stay outside remain invisible to the assistant.

  3. 3

What comes back from a folder

Per question the tasks that belong to that folder and that question come back, with their status, responsible person and schedule. Files and time tracking stay out of it.

  4. 4

    Looking only or recording too

You choose whether the assistant may only look along or also record tasks. In both cases every action appears in the log.

Connected securely

Project information crosses departmental lines

In a larger organisation Wrike holds ordinary project work alongside programmes that do not concern everyone. The connector is therefore bounded per folder.

Where the data lives: Nederland of de EU

The access is yours

The connection works with access your administrator grants and can end at any moment. After that the assistant can retrieve nothing.

Bounded to chosen folders

Only the folders and projects you designate are reachable. A programme about a reorganisation or a tender is easy to keep outside.

Recorded what was done

Every retrieval and every recorded task enters the log. Afterwards it is visible what was pulled and who asked for it.

On our own server

The model runs on our own server in the Netherlands. The content of your projects does not go to an American model provider and is never used for training.

Questions about Wrike and IntraGPT

Can I connect Wrike to ChatGPT?

ChatGPT has no connection to Wrike and therefore cannot look inside your folders. You can retype or export data, but then the answer is a snapshot and project information goes to a public service. IntraGPT looks along live within the folders you designate, with access your administrator grants.

Does IntraGPT work with Wrike?

Yes. Wrike is in the IntraGPT connector catalogue and is in use at customers. The assistant can search folders and projects, request tasks and, if you allow it, record a task in a folder.

Can the assistant change an existing task?

No, and we would rather say so plainly. It can search folders and projects, request tasks and record a new task, but adjusting an existing task is not part of it. Changing a status or moving a date is something the responsible person does inside Wrike. That also fits how project work is handled in larger organisations: changing belongs with the person who carries the work.

What is the difference between a folder and a project in our environment?

In Wrike you can order work in folders and give that work a project character with an owner, a period and a status. For the assistant the distinction matters little: it searches on the name you use and pulls the tasks that hang underneath. During setup we record which folders are used as projects, so a question about a programme lands in the right corner.

Does it work when several departments share one environment?

Yes, and that is precisely the reason to bound it per folder. You choose which folders and projects fall within reach, and the rest stays out of view even when somebody asks about it explicitly. An assistant for the field service cannot look into an HR or management programme, while both departments work in the same Wrike.

Does our folder structure stay untouched?

Yes. The assistant creates no folders or projects, renames nothing and moves nothing. It works within the arrangement you made. The only thing it can add is a task in an existing folder, and only when you ask for it and allow it.

What does a Wrike connector cost?

The connecting is part of the track we go through together. What determines the work is how many folders and projects come within reach, how many departments share the environment, and whether the assistant may also record tasks.

How long does setup take?

Making the connection takes little time. Working out which folders should fall within reach usually takes longer in a larger organisation, because it needs alignment with the departments sharing the environment. Count on a few conversations and then a short trial period.
