Connecting Realworks to AI: listings, contacts and tasks in one conversation

Yes, Realworks can be connected to AI. IntraGPT works through a single connector with the parts of Realworks: residential listings, commercial property, new developments, buying assignments, contacts, calendar, tasks and invoices. Your colleagues ask their question in plain language and the agent searches the listings, pulls up a contact record or queues a task for the right person. For every part you decide whether it may only read or write back as well.

Realworks is the system where the day starts and ends for many Dutch estate agencies. The listings live there, the contacts live there, the viewings live there and invoicing hangs off it. The awkward part is that all of those pieces sit apart from each other inside Realworks: Wonen for residential listings, BOG for commercial property and investments, Nieuwbouw for developments with building types and unit numbers, Aankoop for buying assignments, Relatie for people and companies, plus Agenda, Taken and Facturen. Anyone with a question touching two of them clicks twice in practice. The IntraGPT connector knows those parts and brings them together in one connection. The assistant knows which parts your agency uses and searches only in those, so it never promises something there is no access to and never comes back with a list nobody can use. For the agent on the phone it means one place to ask what came on the market this week in a given town below a given price, and one place where the follow-up is queued as a task.

Search residential listings

The residential listings are searchable on town, street, purchase price from and to, rent from and to, floor area, number of rooms and status. The agent searches with filters instead of paging through whole lists, so a question returns a handful of properties rather than an export.

Commercial, new build and buying

Commercial property, developments with building types and unit numbers, and buying assignments each sit in their own part of Realworks; the connector knows all three. For new developments the agent can also create projects and unit numbers and upload media, not just read.

Find and update contacts

The contact file covers private individuals, companies, contact persons and staff, including setting attributes. The agent checks whether a contact already exists before creating one, so no duplicate records appear.

Calendar items and tasks

Calendar items per branch or employee, with their types and statuses, come from the calendar. Tasks live in the task list. Both can be read, created and changed, so the follow-up of a conversation lands with the right colleague straight away.

Invoices and bookkeeping

The invoicing side opens up invoices, administrations, ledgers, VAT codes and products. Useful for questions such as which invoices from this month are still open, without anyone having to interrupt the back office.

What changed since yesterday

The assistant can limit itself to what has changed since a given moment, since yesterday or since last week for instance. It picks up a workable number of properties per question and never the entire database.

Residential agency

Situation
A buyer calls with a wish that does not fit any saved search: a ground floor flat with a garden, under a set budget, ideally in two specific neighbourhoods.
What the agent does
The agent queries the residential listings on town, price and floor area, reads the status along with it and lists the hits with the features the caller mentioned.
Result
The colleague on the phone has an accurate shortlist during the call instead of having to ring back afterwards.

Commercial agency

Situation
An investor asks about available commercial space in a region and wants to know what came on the market in the past month.
What the agent does
The agent searches the commercial listings within that region, limits itself to what came on the market in the past month and lines up the key features per property.
Result
A current overview without manual exports, and only properties that have been released for external connections.

Back office

Situation
After an open house there is a list of dozens of visitors who still have to go into the CRM and be followed up.
What the agent does
The agent checks per visitor whether the contact already exists, creates it in the contact file if not, and queues a task for the responsible agent.
Result

    Your administrator gives IntraGPT access to the parts of Realworks that may take part, and can withdraw that access at any moment. With that the connection stands.

Nothing is copied into a second database. The agent retrieves what it needs at the moment of the question and uses it only for that answer.

Only what the question needs

Searches are filtered, a call returns at most a hundred records and an oversized response is truncated. Questionnaires and fixture lists are only fetched when they are explicitly asked for.

Permissions per role

Which employees may use the connector is decided in IntraGPT, separately from who may do what inside Realworks. An agent meant for the front office never reaches invoicing.

On your own server

IntraGPT runs on your own server with open-weight models. What comes out of Realworks is not shipped to an external model provider for training.

Questions about the Realworks connector

Can I connect Realworks to ChatGPT?

Not directly. ChatGPT has no built-in connection to Realworks and the public model should not process the personal data of buyers and sellers. IntraGPT gives you the same ease of chatting, but on your own server, with a connector that is bounded per part and that records every lookup.

Does IntraGPT work with Realworks?

Yes. Realworks has its own implementation in IntraGPT, not just a configuration line. That connector opens up all of the parts, knows how Realworks is put together, and enforces per part whether reading or also writing is allowed.

Which parts of Realworks are supported?

Wonen, BOG, Nieuwbouw, Aankoop, Relatie, Agenda, Taken and Facturen. You do not have to switch them all on: per part you decide whether it is in the connector and which mode it gets.

Can the AI change things in Realworks?

Only if you enable that per part. Writing genuinely touches the office CRM: a new contact, a response, a saved search, a task or a calendar item appears in it immediately. The agent only does so on explicit request and first checks whether a contact already exists.

What does a Realworks connector cost?

The connector itself is part of the project we run together. What drives the work is how many parts you want to use, whether writing is needed and how many branches take part. Access to Realworks itself is arranged with Realworks, which runs outside IntraGPT.

How long does setup take?

The technical part is a matter of arranging the access and picking the branch. The lead time is set by Realworks: per part the terms have to be signed and the access level chosen before the access works. Plan for that and start with the parts you need first.

The connector finds nothing, how come?

Usually something on the Realworks side is not arranged yet. Either the terms for that part have not been signed, or the properties and contacts in Realworks have not been released for connections outside the office. That last one is a setting an administrator at the agency controls. The log says which of the two it is, so nobody has to guess.

Does the connector work for multiple branches?

Yes. The branch code determines the office and sits on the connector. If you work with several branches you set up a connector per branch, so an agent at one office does not look into another office's listings.
