Connect Google Drive to AI: find the right file without clicking through folders

Google Drive can be connected to AI. The assistant looks up the file somebody means, says which file that is and when it was last changed, and can create a folder in the place you point it to. Sharing a file is possible too, but that is an outward action: it happens only on explicit request and with a note of who it was shared with and with which rights.

Google Drive grows along with the organisation. Everybody puts something in it, folders appear where they seemed logical at the time, and a few years later nobody knows exactly where anything lives. The result is familiar: people ask in a chat group where that one document went, and somebody else goes looking for it. Not a disaster, but it happens dozens of times a week and it never produces anything. With an AI connector you put that question to the assistant instead. You mention what it was about, a client name, a project number, a year, and it comes back with the file that matches. If there are several versions with almost the same name, it checks which was updated most recently and says which one it means. Besides looking things up, the connector can do two things that change something. The assistant can create a folder, which helps at the start of a project so the structure is right from the outset. And it can share a file with somebody. That last one is not a reading action but a decision: somebody gains access to a company document they could not reach before. So it only acts when explicitly asked, and writes in its answer who it shared with and which rights that person receives.

Find the right file

You mention what it was about and the assistant looks the file up in Drive. Distinctive words work best: a client name, a project number, a year.

Pick out the newest version

When several files carry almost the same name, the assistant checks what was updated most recently and names the version it picked.

Confirm it is the right one

For a file it found, the assistant names the title, the kind of file, the owner and when it was last changed. That tells you whether this really is the document you meant.

Create a folder

The assistant creates a new folder in the place you point it to, with the name you supply. Useful at the start of a project, so the structure is right straight away instead of afterwards.

Share a file

Sharing means somebody gains access to a company document. The assistant only does it after an explicit request and reports in its answer who it shared with and with which rights.

A recruiter needs an employment contract template, but Drive holds three versions with almost the same name.

The structure is identical from day one, so searching still works later on.

The accountant asks for a document and somebody has to work out which file is meant and how to get it to them.
What the agent does
The assistant looks the document up, shows which file it is and shares it only after approval, with the given address and the requested rights.
Result
The right file reaches the right person, and it is on record who shared it.

You record which roles may use the Drive assistant. A customer service assistant has no business searching the folders of the management team.

On your own server

The model runs on our own server in the Netherlands. What is in your documents is not sent to an American model provider and is never used for training.

Questions about Drive and the assistant

Can I connect Google Drive to ChatGPT?

ChatGPT can process a file you upload yourself, but that is something other than a managed connection to the organisation's Drive. IntraGPT connects Drive on consent you grant and withdraw yourself, with options you enable one by one and a model that runs on its own server.

Does IntraGPT work with Google Drive?

Does the assistant see everything in Drive?

No, only what falls inside the agreed scope and what belongs to the question. Folders left out of it do not exist for the assistant, not even when somebody asks. On top of that you decide per role who may work with this assistant.

Can the assistant share something with the wrong person by accident?

Sharing is a separate option you can leave switched off. With it on, the assistant shares only after an explicit request and writes in its answer who it shared with and which rights that person receives. Every share is recorded, so it can be checked and reversed afterwards.

Can the assistant delete or move files?

No. It can look things up, show which file it is, create a folder and share. Removing files, renaming them or dragging them into another folder is not part of it, so that cannot happen by accident either.

What helps the assistant find something quickly?

Mention a word that appears in the name of the file, or the folder it roughly belongs to. A client name, a project number or a year is enough. The more recognisable your file names are, the better this works, and that holds for people just as much as for the assistant.

What does a Google Drive connector cost?
