Connect Dropbox to AI: know what is in a folder without opening it
Dropbox can be connected to AI. The assistant can look inside a folder and tell you what is there, track a file down, create a share link and move or rename a file. Colleagues notice the last two straight away, so those happen only on request and after a confirmation. In its answer the assistant always names the folder something sits in.
Four things the assistant does in Dropbox
Look inside a folder
The assistant tells you what sits in a folder and, if you want, what is in the folders below it. You get a picture of a folder without opening it yourself.
Track a file down
If you roughly remember what it was about, the assistant finds the file or the folder. A property number, a supplier name or a month is usually enough to get there straight away.
Create a share link
A share link lets anyone holding it reach that file or folder. That is company data going out, so the assistant creates one only after an explicit request and says what it is sharing.
Move or rename
A file or folder can go somewhere else or get a different name. The whole team sees that immediately in their own Dropbox, so the assistant first shows what it intends to do.
Say where something came from
Every answer names the folder the file sits in. That lets you check it yourself and know where to find it again later.
Where teams lose time
Real estate
- Situation
- A viewing needs material for a property, but the photo sets are spread across folders from different years.
- What the agent does
- The assistant searches on the property number and lists what sits in the folder that fits best.
- Result
- The material is complete before the appointment starts, without asking around in the team.
Retail
- Situation
- A supplier delivers product imagery and documentation every season, and nobody is sure whether the newest set has arrived.
- What the agent does
- The assistant looks inside that supplier's folder and reports what is there and what is missing.
- Result
- Missing material is spotted while there is still time to ask for it.
Marketing
- Situation
- An outside party asks for a delivery, and moving it through a temporary service is a hassle every time.
- What the agent does
- After approval the assistant creates a share link to the right file and reports exactly what it shared.
- Result
- The link sits in the conversation and it is on record what went out.
Back office
- Situation
- Delivered files land in a collection folder and then have to go to the folder of the right project.
- What the agent does
- On request the assistant moves a file to the stated folder and afterwards confirms what was moved.
- Result
- The collection folder stays workable and files sit where colleagues look for them.
Putting it to work without surprises
-
1
Arrange access
You give IntraGPT access to Dropbox and can withdraw that consent yourself. No employee password ends up in the platform.
-
2
Decide what is allowed
Looking inside a folder and searching are reading actions. Creating a share link and moving are switched on separately. What is off, the assistant cannot do.
-
3
What the assistant gets
The folders and files that belong to the question, not the whole storage. With too many results it first asks which folder you mean.
-
4
What gets recorded
Every question and every action lands in the log. A share link or a move can therefore be traced afterwards.
A share link leaves the building
The difference between looking inside a folder and creating a share link is large: the first stays in, the second goes out. The connector does not treat them the same.
Where the data lives: Nederland of de EU
Access stays yours
The connection works on consent you grant yourself and can withdraw yourself. After that the assistant can do nothing in Dropbox, without anything having to be adjusted.
Sharing is stated
When the assistant creates a share link, its answer says exactly what it shared. Everyone with that link can reach it, which is precisely why this is allowed only after an explicit request.
Moving is visible
Colleagues notice a move or a new name immediately in their own Dropbox. The assistant therefore confirms beforehand what it is about to do, and the action is recorded.
On your own server
The model runs on our own server in the Netherlands. What the assistant sees in your Dropbox is not sent to an American model provider and is never used for training.
Questions about the Dropbox connector
Can I connect Dropbox to ChatGPT?
ChatGPT has no managed connection to your organisation's Dropbox. IntraGPT connects Dropbox on consent you grant and withdraw yourself, with options you enable one by one, a record of every action and a model that runs on its own server.
Does IntraGPT work with Dropbox?
Yes. Dropbox is one of the systems IntraGPT connects as standard: looking inside a folder, tracking a file down, creating a share link and moving or renaming a file.
Who can reach a share link?
Anyone who holds the link. That is exactly why the assistant creates one only when explicitly asked, and afterwards says what it shared. If you would rather not run that risk, you leave this option off and the connector stays purely a way to look things up.
What if the wrong file gets moved?
The assistant first shows what it intends to do and waits for approval, and afterwards reports exactly what was moved. If something still goes wrong, the log shows what moved and where to, so it can be restored. If you would rather avoid this entirely, you leave the option switched off.
Can the assistant throw files away?
No. Deleting is not among the things it can do, so nothing can disappear from Dropbox through a conversation with the AI. The heaviest thing it can do is put a file somewhere else, and that can be undone.
Can we start with looking and searching only?
Yes, and that is a sensible start. In the first weeks the team notices that questions get answered faster, without anything in the storage changing. If that works well, you can then decide whether sharing and moving may be added.
What does a Dropbox connector cost?
Connecting is part of the project we run together. What drives the work is how many folders are included, whether sharing and moving are allowed next to looking, and which roles may use the assistant. We make that concrete in the first conversation.
How long does setup take?
Once access is arranged, the connector is in place within minutes. The lead time usually sits in the internal agreement on which folders are included and whether the actions that change something are allowed.
