Connecting Freshdesk to AI: a grip on the queue and on what goes out
Freshdesk can be connected to AI. The assistant surveys the queue by status, priority and period, creates a ticket for a question that arrived outside the system, and updates status, priority, assignee and labels. Replying to the customer is a separate act that genuinely goes out; that only happens on explicit request and after the text has been put in front of someone.
What the assistant does for you in Freshdesk
Survey the queue
The assistant pulls up the tickets that belong to your question: what is open, what is waiting on the customer, what has been resolved or closed, and at which priority. That overview exists at the moment you need it, not after someone has built a filter.
Look back at handled cases
Handled tickets are useful too. How was a comparable complaint resolved last time, what was promised then, which fix worked. The assistant finds that and summarises it.
Create a ticket
A question that came in by phone or through a colleague can be recorded as a ticket with a clean description and the right requester attached. The queue then stays the complete picture.
Update status, priority, assignee and labels
Updating happens inside Freshdesk itself. A ticket to a colleague, priority up, a label added so that reporting adds up later. Setting a ticket to resolved signals to the requester that it is done, so that step is never on autopilot.
Send a reply to the customer
Replying is a separate act. The text goes to the requester and cannot be withdrawn. The assistant therefore shows it in full first, with the recipient named, and only sends after a clear go-ahead.
What teams solve with this
Internal IT helpdesk
- Situation
- On Monday morning the helpdesk is asked what was left over from last week.
- What the agent does
- The assistant orders the open and waiting cases from that period by priority and names the last movement on each.
- Result
- An overview that is accurate the moment the stand-up starts, without anyone having had to prepare anything.
Wholesale
- Situation
- An order goes wrong and the customer calls, while the same question already sits in Freshdesk by email.
- What the agent does
- The assistant finds this requester's ticket, reads the description and drafts a reply using the data from the connected order system.
- Result
- One answer instead of two, and the promise made on the phone ends up in the same place as the rest.
Financial services
- Situation
- A team lead wants to know whether the high-priority cases were picked up within the agreement.
- What the agent does
- The assistant gathers those tickets across a period and singles out the ones where nothing has happened for a long time.
- Result
- Steering on what is falling behind, instead of discovering afterwards that something got stuck.
Customer service
- Situation
- New colleagues keep asking the same question about how a particular complaint is handled.
- What the agent does
- The assistant looks up earlier cases of that type, summarises the usual handling and points to the knowledge base.
- Result
- Onboarding goes faster and the handling stays consistent, even when the experienced colleague is away.
From tickets to answers
-
1
Connecting through the platform
An administrator records access to your Freshdesk environment in IntraGPT once. That access can be withdrawn at any moment, and the connector is closed.
-
2
Deciding what the assistant may do
Looking, updating and replying are separate choices. Many teams start with looking and add replying once the tone and the agreements are in place.
-
3
Asking questions in plain language
After that you simply use it: questions about the queue, about a customer or about an earlier case. The assistant pulls in what it needs and shows which ticket the answer came from.

Traceable in the log
Every retrieval and change lands in the log. For a sent reply that records when it happened and at whose request, so there is no discussion afterwards.
What stays inside and what goes out
A helpdesk mixes customer data, complaints and internal notes. The difference between updating and replying is therefore not a detail.
Where the data lives: Nederland of de EU
A reply cannot be undone
Once the reply is sent it sits with the requester. The assistant shows the full text and the recipient before sending, and never does it on its own initiative.
Roles decide who may ask
Per role you record who uses this assistant and which acts belong with it. Someone who only needs overviews does not get one that can reply.
Visible what was retrieved
The log shows which tickets were looked up and what was changed. That makes it possible to explain afterwards exactly what happened.
Processing on your own server
Ticket contents are processed on our own server in the Netherlands with open-weight models. That content does not go to an external model provider and is not used to train models.
Frequently asked questions about Freshdesk and AI
Can I connect Freshdesk to ChatGPT?
Not in a way an organisation wants to defend. You would give a public service access to your entire helpdesk, without roles, without a log and without control over what reaches customers. IntraGPT connects your own Freshdesk environment and keeps sending replies behind an explicit confirmation.
Does IntraGPT work with Freshdesk?
Yes. Freshdesk is in the connector catalogue and in use at customers. The assistant can survey the queue, look up earlier cases, create a ticket, update a ticket and send a reply to the customer. Which of those are switched on is up to you.
Can the assistant send replies to customers on its own?
Only if you enable it and only on explicit request. A reply in Freshdesk goes to the requester and cannot be stopped afterwards. The assistant therefore shows the full text first. If you do not want that exposure, you leave the connector on looking and updating.
Can the assistant add an internal note as well?
That is not part of this connector. What is part of it is the reply towards the customer and updating status, priority, assignee and labels. If something has to be recorded for colleagues only, the assistant shows it in the conversation or applies an agreed label to the ticket.
Does the assistant see every group and every ticket?
It sees what the connected access is allowed to see. If you keep separate groups for, say, internal IT and customer service, that separation can be carried over. And it does not pull the entire queue, only what belongs to the question asked.
What happens to the contents of our tickets?
They are processed on our own server with open-weight models and do not go to an external model provider. Nothing is trained on them. The tickets themselves simply stay in Freshdesk; the connector does not turn them into a second archive.
What does a Freshdesk connector cost?
Connecting is part of the project we run together. The work is driven by whether the assistant may only look or also update and reply, how many groups and ticket types are involved, and which roles may use it.
How long does setup take?
The connector stands quickly and can be tested the same day. The lead time sits in the content decisions: which overviews you want as standard, which labels you use and who may have replies sent.
