Connecting Twinfield to AI: entries by financial year and day book

Twinfield can be connected to AI as a read-only connector. The assistant retrieves entries within one administration and one financial year, aimed at the period and the day book the question is about, and states for every amount whether it is debit or credit. It cannot post or change anything, and that is a deliberate choice.

This connector does less than the other accounting connectors on this site, and that is on purpose. In accountancy firms and larger finance departments Twinfield is where the financial accountability is recorded. An assistant has no business writing in there, so it reads entries and changes nothing. What remains is still the question that gets asked most often: where does this amount come from. In Twinfield the answer hangs on three things you always have to supply. An administration, because every company has its own. A financial year, because Twinfield orders everything by year and by period. And a day book, because a question about purchasing is a different question from one about the bank. Leave that framing out and you get no error message but an empty or unusable answer. The connector therefore fixes the administration during setup and keeps the assistant inside a financial year and a period.

Find entries again

The assistant retrieves the entries that belong to the question and shows them with their description, their date and their amount. You can see where a figure comes from without anyone having to search in Twinfield.

Every question revolves around one administration. The connector fixes which one, so an answer never quietly picks up entries from another company's books.

Inside one financial year and period

Twinfield orders everything by financial year and period. The assistant stays inside those and names the year and the period alongside its answer, so it is always clear what a figure refers to.

Aimed at the right day book

Ask about purchasing and you get purchasing. The assistant looks in the day book the question belongs to instead of pulling a broad slice you still have to wade through yourself.

Amounts with debit or credit

In a ledger, debit or credit decides the sign of an amount. The assistant always states it, so a figure in an answer is not read as a plus when it is in fact a minus.

The assistant retrieves the entries per period within the same financial year and lines them up.

A picture of the trend, with the option to dig into a single period straight away.

Someone wants to check whether all entries in a period ended up in the right day book.
What the agent does
The assistant retrieves the entries per day book and reports what was recorded in that period.
Result
A check that happens in the conversation, with the administration and financial year visible in the answer.

    Arrange access in Twinfield

    An administrator grants the connector consent for the administration you want to open up. That consent stays yours and can be withdrawn again, which stops the connector immediately.

    Pick the administration

    You say which administration the assistant may read. If you work for several, we set them up separately with recognisable names, so a user knows which books they are addressing.

    Agree the financial year

    During setup we agree how the assistant handles the financial year: the current year only, or earlier years as well. That stops a question quietly landing in the wrong year.

    Who uses it and what you see back

    You name the roles that may use the assistant. There is no way to write anything back, and every question lands in the log with the administration, the financial year and the framing used.

A ledger is the heart of financial accountability. The assistant can therefore read from it, but never change anything in it.

No writing of any kind

The connector knows only how to request entries. There is nothing to switch on that would allow posting, changing or deleting, so a mistake in a conversation cannot touch the books.

Framing is part of the safety

Administration and financial year are fixed in the connector. That prevents wrong answers, and it also ensures nobody uses a conversation to look into books that are none of their business.

Limited to the finance roles

You decide which roles may use this connector. For a general assistant on the shop floor it is simply not on the list.

On a dedicated server

The model runs on a dedicated server in the Netherlands. Entries from Twinfield are not sent to an American model provider and are never used for training.

Can I connect Twinfield to ChatGPT?

ChatGPT has no connection to Twinfield and cannot pull anything out of it. IntraGPT can, as a read-only connector inside the administration you point it at. You ask the question in plain language and the assistant finds the matching entries, with the financial year and the period attached.

Does IntraGPT work with Twinfield?

Yes. Twinfield is one of the accounting packages IntraGPT handles, though here it is deliberately read-only. Requesting entries within an administration, a financial year, a period and a day book covers most questions that are really about figures.

What does a Twinfield connector cost?

How long does setup take?

Once access is arranged and it is clear which administration belongs to it, switching it on is quick. The lead time usually sits in arranging that access, because it needs someone with administrator rights in Twinfield.

Why do I get an empty answer back?

Almost always a piece of the framing is missing. Twinfield expects an administration and a financial year, and without that combination you get no error message, just nothing. The connector therefore always asks for those, and the log shows which administration and financial year were used.

Why can the assistant not post anything in Twinfield?

Because this connector only knows how to request entries. There is no writing capability, not even one you could switch on. For a package that holds the financial accountability we consider that the right call: fetching figures saves time, writing them belongs with the people who keep the books.

Which administrations and financial years do we open up?

That is the main decision during setup. An accountancy firm often works with many administrations, and not everyone needs to be able to query them all. We set up a connector per administration and decide at the same time whether only the current financial year opens up or earlier years as well.

Can the assistant produce a balance sheet or annual accounts?

No. It retrieves entries, which is something else than compiled annual accounts. For a balance sheet or a report you keep working in Twinfield. Where the assistant does help is the question that comes before or after: where does a figure come from and how does it sit against the rest of the period.
