QuickBooks Online can be connected to AI. The assistant looks up invoices and customers, pulls the profit and loss report for a period and can create an invoice on request. It works inside the administration you granted the connector consent for, so figures from different businesses never get mixed up.
Three ways the assistant uses QuickBooks
Find the invoices behind the question
The assistant searches the invoices on purpose: for a given customer, from a given period, or only those above an amount. You get a short answer rather than an export you still have to filter yourself.
Profit and loss over a period
For how a month or a quarter went the assistant pulls the QuickBooks profit and loss report. That is the same outcome your bookkeeper sees, and therefore more reliable than adding invoices up by hand.
Bring in the customer details
For a question about a customer the assistant looks up their details and puts the invoices next to them. Someone on the phone immediately knows who they are talking to and what is going on.
Create an invoice
On request the assistant creates an invoice with the customer, the lines and the due date. That touches the real administration, so it first shows what it wants to write and waits for approval.

The connector belongs to one administration in QuickBooks. If you run several businesses, each gets its own connector, so an answer always concerns the business you mean.

Grant the connector consent
Someone with admin rights in QuickBooks grants the connector consent for one administration. That consent is visible in QuickBooks and can be withdrawn there as well.

If you run several businesses you set up a connector per business with a clear name. A user then always knows which set of books they are addressing.

Decide what is allowed
Looking things up, reporting and invoicing stand apart from each other. Many organisations start with look-ups and the report, and enable invoice creation once the habit has settled.

Name the users and follow along
You decide which roles may use the assistant, and every action lands in the log. For a created invoice you can therefore see when it happened and at whose request.

One administration per connector
The administration is fixed in the connector. A user cannot stray from it in a conversation, so an answer always concerns the business you mean.
Roles decide access
You decide which roles may address the finance assistant. Anyone without that role never sees the connector and therefore cannot pull figures from it.
Invoicing stays a separate act
Creating an invoice is a step in the books of a real business and not easily undone. That option is off by default and runs only after the assistant has shown what it wants to write.
On a dedicated server
The model runs on a dedicated server in the Netherlands. Figures from QuickBooks are not sent to an American model provider and are never used for training.

Can I connect QuickBooks Online to ChatGPT?
ChatGPT has no connection to QuickBooks Online, and pasting your books into a public chatbot is not something you want. How long does setup take?
Granting consent takes very little time, provided someone with admin rights is available. After that we choose which parts go live and who may use them. With one administration and look-ups only, you are quickly done.
Does it work if we have several businesses in QuickBooks?
Yes, but with a connector per business. Every administration in QuickBooks stands on its own and holds its own figures, so we set them up separately with recognisable names. A user always knows which business an answer concerns, and you decide per business who may use it.
Does the assistant see our entire books?
No. It looks up what belongs to the question and is not handed the whole administration. There is also no way to export everything in one go. If you want to narrow access further, for example the report only and no individual invoices, that can be arranged during setup.
Should profit and loss be on a cash or an invoice basis?
That is a choice you make up front and it genuinely changes the answer. On a cash basis an amount counts once it is paid, on an invoice basis once it has been billed. Agree which method is your standard and the assistant applies it consistently and states it alongside the figure.
Why does an answer sometimes differ from our own report?
Usually it is a different period or a different method. A quarter that starts on another date in your setup, or a report on a cash basis instead of an invoice basis, gives a different number while both are correct. The assistant therefore names the period and the method alongside the figure, so you can place the difference at once.
