Connecting Outlook to AI: the mailbox as a work queue instead of a black hole

Outlook can be connected to AI. The agent searches the inbox with intent, reads the full text of the messages that matter, replies in the same thread and can send a new message. Sending genuinely goes out, so it happens only on explicit request and only after the agent has shown who the recipient is and what the message says.

For most organisations the mailbox is the real work tray. Customer questions arrive there, the promise made three weeks ago sits there, the attachment someone is hunting for hangs there. And that is exactly where the time goes: scrolling, searching on a half remembered word, and then opening the wrong thread anyway. The Outlook connector in IntraGPT therefore works like a funnel. The agent first searches on sender, subject or period, instead of paging through the inbox. The overview it gets back holds only the headers of the messages; only for the ones that genuinely matter does it read the full contents. That keeps the amount of mail the model sees limited to what the question needs and keeps answers fast. Replying happens in the same thread by preference, so the history is preserved and the recipient does not get a loose message without context.

Search with intent

Search on sender, subject or period. The agent does not page through the inbox but asks one targeted question, which is faster and exposes less mail.

Retrieve the headers

Retrieving messages returns the header of each: sender, subject and date. Enough to decide which message is relevant without reading all the content.

Read one message in full

Only once it is clear which message matters does the agent retrieve the full text. That is the moment it can summarise, pull out an action or propose a reply.

Reply in the same thread

Replying happens on the message itself, so the history stays and the recipient sees the context. That is different from a new message with the same subject.

Send a new message

The agent can compose and send an email, with the option to keep it in Sent Items. Only on explicit request, and always after the recipient and the text have been shown.

    Connect from the platform

    An administrator connects the mailbox to IntraGPT and grants consent from your own Microsoft 365 environment. They decide which permissions that covers and can withdraw the consent there.

    You connect per mailbox. A shared mailbox for customer service is something else than a director's personal mailbox; those two do not belong to the same agent.

    Most organisations start with searching and reading only. Sending and replying are switched on once it is clear who may ask for it and what tone belongs with it.

    Calls and errors land in the connector log with the action and the outcome. For a sent message you can therefore trace when it happened and at whose request.

A mailbox mixes everything together: customer data, personal messages, contracts and promises. That is why the connector is kept narrow and why sending is never silent.

Search instead of dump

The agent asks a search question and then reads only the messages it needs. There is no action that exports or forwards the whole mailbox.

Before sending or replying the agent shows the recipient and the full text. Without an explicit request it sends nothing.

Per mailbox and per role

Which mailbox belongs to which agent and which roles may use that agent is up to you. A customer service agent never reaches the executive mailbox.

Processing on your own server

The content of the mail is processed on your own server with open-weight models and is not sent to an external model provider.

Questions about the Outlook connector

Can I connect Outlook to ChatGPT?

For an organisation that is hard to justify: you would give a public service access to a mailbox full of customer data, without roles and without an audit log. IntraGPT connects Outlook inside your own Microsoft 365 environment, per mailbox, with a log and a model on your own server.

Does IntraGPT work with Microsoft Outlook?

Yes. Outlook is in the IntraGPT catalogue: search messages, read one message, reply in the same thread and send a new message. Sending is switched on separately.

Can the AI send mail on its own?

Only if you switch that on and only on explicit request. The agent first shows the recipient and the full text. If you do not want that, you leave the connector on searching and reading.

Does the AI read my entire mailbox?

No. It searches with intent, gets the headers of the hits and only reads in full the messages that belong to the question. There is no action that fetches everything at once.

Does this work with a shared mailbox?

Yes, provided the consent in Microsoft 365 covers that mailbox. A shared mailbox is often the best place to start: that is where the questions that cost the most time arrive.

What does an Outlook connector cost?

How long does setup take?

The consent in Microsoft 365 is a short action for an administrator. After that the connector can be tested the same day. The time usually goes into agreeing who may have messages sent.

Can I use the mailbox as a channel instead of a source?

You can, but that is a different part of the platform: there IntraGPT collects mail itself and lets an agent respond, either as a draft or autonomously. The Outlook connector here is the variant where the agent looks into the existing mailbox at a user's request.
