Connecting Chargebee to AI: a grip on subscriptions and billing
Chargebee can be connected to AI. The assistant shows which subscriptions are running, which are ending and which have been cancelled, which customer they belong to and which invoices came out of them. Cancelling a subscription is possible too, immediately or at the end of the term, but you enable that separately because it stops a customer's service.
What the assistant looks up in Chargebee
See what is running
The assistant shows the active subscriptions, per customer or across the whole book. That answers the question of what a customer actually buys and since when.
What is ending or cancelled
Subscriptions that will not renew and subscriptions that have already been cancelled can be requested separately. That is the basis for a renewal round or for the question of how many stopped last month.
Find the customer behind it
A subscription belongs to a customer, and that customer can be looked up, from the email address in an incoming message for example. That takes the assistant from an email in the inbox to the right record.
Invoices per customer and state
The invoices produced by the subscriptions can be requested per customer, with the distinction between what has been settled and what is still outstanding.
Cancel a subscription
The assistant can cancel a subscription, immediately or at the end of the term, with a reason attached. This is the most far-reaching action in the connector and is off by default.
Situations from the subscription desk
Customer service
- Situation
- A customer calls to ask why they are paying a different amount this month.
- What the agent does
- The assistant finds the customer, pulls up the subscription and sets the latest invoices beside it.
- Result
- An explanation during the call instead of a note asking finance to call back.
Customer success
- Situation
- The team wants to know which subscriptions will not renew before planning a round of calls.
- What the agent does
- The assistant lines those subscriptions up and groups them per customer.
- Result
- A working list that is ready the moment somebody asks for it, without an export.
Finance
- Situation
- At the end of the month it has to be clear which invoices have not been settled.
- What the agent does
- The assistant walks through the outstanding invoices and names what is left per customer.
- Result
- An overview in the chat that can be drilled into customer by customer.
Sales
- Situation
- Before a meeting the account manager wants to know exactly what this customer buys.
- What the agent does
- The assistant retrieves that customer's subscriptions and shows what is running and since when.
- Result
- Preparation in a minute rather than clicking through three screens.
Management
- Situation
- A question comes in about how many subscriptions were cancelled last month.
- What the agent does
- The assistant looks up the cancelled subscriptions and summarises what it finds.
- Result
- An answer with its source attached, ready for the next question.
Getting the connection in place
-
1
Access that you issue yourself
The connector works with a key you create in Chargebee yourself and can withdraw again. One connector belongs to one Chargebee environment, so test and production stay apart.
-
2
Reading, or cancelling as well
By default the assistant only looks on: subscriptions, customers and invoices. Whether it may also cancel is a separate choice that you make deliberately.
-
3
Who gets to see the assistant
You decide which roles or departments work with this assistant. Customer service can look on without that same assistant being able to end a subscription.
-
4
Traceable in the log
Every action is recorded. For a cancellation the log states which subscription it concerned, whether it was immediate or at the end of the term and which reason was given.
Cancelling hits the customer straight away
Most of this connector is looking on, but one action stops the service of a paying customer. That difference is the starting point for how it is set up.
Where the data lives: Nederland of de EU
Cancelling is switched off
The cancellation is not available to the assistant by default. If you enable it, the assistant first confirms which subscription is meant and whether the end should be immediate or at the end of the term, and only then carries it out.
The reason is recorded
A cancellation carries a reason. It ends up in Chargebee and in the log, so it stays traceable later why a subscription stopped and who asked for it.
Never the whole book
The assistant retrieves what belongs to the question: a customer, a subscription, a set of invoices. There is no way to have the entire customer base read out in one go.
On a dedicated server
The model runs on a dedicated server in the Netherlands. Subscription and invoice data does not go to an American model provider and is never used for training.
Frequently asked questions about Chargebee and AI
Can I connect Chargebee to ChatGPT?
ChatGPT has no built-in connection to Chargebee, and customer subscription data does not belong in a public chatbot. IntraGPT works like a chat, but with a connector tied to your own environment, where you decide per action what is allowed and everything is recorded. The cancellation also sits behind a separate choice.
Does IntraGPT work with Chargebee?
Yes. Chargebee is in the IntraGPT connector catalogue. The assistant can request subscriptions, customers and invoices, and cancel a subscription if you want it to. Which of those it gets is decided during setup.
What does a Chargebee connector cost?
Connecting is part of the project we run together. What determines the work is whether you only want to look on or also to cancel, whether a test environment takes part alongside production and which roles may use the assistant. We make that concrete in a short conversation.
How long does setup take?
The technical part is quick: make the connection and choose the permissions. The lead time usually sits in the internal agreement about who may cancel and which reason is used as standard. That is a decision on your side.
What is the difference between an immediate and an end of term cancellation?
At the end of the term the subscription continues until the paid period ends and stops after that. Immediately means the service stops right away. The assistant always asks which of the two is meant before cancelling anything, because the consequence for the customer is very different.
Can the assistant change or create a subscription?
No. It looks on at subscriptions, customers and invoices and can cancel a subscription. Creating a new subscription, switching a package or adding a discount is not part of it. That stays work done inside Chargebee itself.
Who decides whether cancelling is allowed?
You do. During setup you choose whether the cancellation is enabled and for which roles. Many organisations let customer service look on only and keep the cancellation with a smaller group. That choice can be adjusted later without any fuss.
Does the connector work with several Chargebee environments?
One connector belongs to one environment. If you have a separate test environment or several brands with their own administration, you set one up per environment. Figures from one environment then never appear in an answer about another.
