Connect Zapier to AI: set a Zap in motion from the conversation

Zapier can be connected to AI, but in one direction only: the assistant can set a Zap in motion and passes along the details agreed inside that Zap. It gets no substantive answer back, only whether the call arrived. So this is not a way to look something up, it is a way to set something going. Because what happens on the other side can be irreversible, the assistant does it only on an explicit request.

Plenty of companies already have a handful of Zaps running: if this comes in, then do that. Put a new sign-up on a list, post a message in a channel, create a task in a system nobody opens daily. What is usually missing is the trigger. Somebody still has to fill in a form or press a button to start such a chain, and that is exactly what slips when things get busy. With this connector that starting signal becomes a sentence in a conversation. You ask the assistant to pass something on and it sets the matching Zap in motion, with the fields you agreed inside that Zap. It also lets you hand work to systems that have no connector of their own in the catalogue: if it is in Zapier, it is reachable. Be honest about what comes back, though, because it is very little: a confirmation that the starting signal arrived, nothing more. Whatever the Zap does next happens out of the assistant's sight. Questions such as did it actually work or what was the outcome therefore belong in the system on the other side.

The assistant sets the Zap you have pointed out in motion and passes along tidy, agreed fields. You type what needs to happen and it turns that into exactly the details the Zap expects.

Pass work to a system with no connector

For some systems no ready-made connector exists. If the system is in Zapier, the assistant can still push work towards it along this route.

Record a notification or a line

Many Zaps end in something simple: a message in a channel, a line in an overview, an email to a mailbox. The assistant supplies the starting signal and the details, the Zap does the rest.

Kick off a chain of steps

If a series of steps hangs behind it, that chain starts moving as soon as the assistant starts the Zap. Exactly what those steps are is managed by you in Zapier, not by us.

Only a confirmation comes back

What the assistant receives is whether the starting signal arrived, not a substantive result. Looking things up is therefore not possible here: for questions you expect an answer to, a readable connector is the right route.

Customer service

Situation
In a conversation a colleague hears something that has to land in another system, but that system is not on their screen.
What the agent does
They ask the assistant to pass it on, and it starts the Zap that is waiting for exactly that.
Result
It gets arranged in the moment instead of on a note for later.

HR

Situation
A new colleague means a row of things has to happen, partly outside the company's own systems.
What the agent does
The assistant sets the onboarding Zap in motion with the name, the start date and the team.
Result
The chain runs the same day, and nobody has to remember which form existed for it.

E-commerce

Situation
A recurring complaint has to be reported to a supplier who works with a portal of their own.
What the agent does
The assistant starts the Zap that files the report with that supplier, order details included.
Result
The report goes out without anyone logging into an external portal again.

Management

Situation
The board wants certain signals to end up in the same overview, however they come in.
What the agent does
Whoever catches the signal asks the assistant to pass it on; the Zap writes it into the overview.
Result
One place where it is collected, regardless of who noticed it or in which conversation.

    Because this is an action rather than a question, the role allowed to use it is often a smaller one. You set that per role in the platform.

Anybody who knows the secret address of a Zap can start that chain. So treat it as a password rather than as an ordinary link.

Replaceable whenever you want

The address is kept shielded on our side and is never visible inside a conversation. If you no longer trust it, you create a new address in Zapier and the old one becomes worthless.

Only on an explicit request

The assistant never sets anything going on its own initiative. It summarises what it is about to pass on and waits for a clear yes, because the consequences on the other side cannot always be undone.

Checkable afterwards

Because the assistant does not see what the Zap carries out, the log on our side is the starting point. It shows which request was passed on and when.

On a dedicated server

The model runs on our own server in the Netherlands. Do bear in mind that the details you pass on then reach Zapier and the system on the other side, so choose deliberately what travels along.

Questions about Zapier and IntraGPT

Can I connect Zapier to ChatGPT?

A public chatbot cannot set anything going in your Zapier account, because that requires a secret address you do not want to paste into a chat window. In IntraGPT that address sits shielded, roles decide who may start a Zap, and every start is recorded.

Does IntraGPT work with Zapier?

Yes, as a write connector. The assistant can set a Zap in motion with the details agreed inside it. It is a working integration already in use at clients, and deliberately limited to that single action.

Can the assistant also retrieve data from Zapier?

No, and that is not a setting but the nature of this connector. The traffic goes one way. If you want the assistant to look something up in a system, a readable connector to that system is the right route; this page is purely about setting something going.

What if a Zap does something we cannot undo?

That risk exists, and we will not pretend otherwise. A chain can send an email, place an order or create something in an external system. That is why the assistant never starts anything by itself, first summarises what it is passing on and waits for approval. It is also wise to keep Zaps with irreversible consequences apart from the ones you let a conversation start.

What if the secret address ends up with someone else?

Create a new address for that Zap in Zapier and hand it over in the platform. The old address then stops working, so whoever had it can do nothing with it. That is also why the address is never shown inside a chat.

Why use this instead of a connector of our own?

Because it is ready sooner and because the system on the other side sometimes has no connector at all. If you do need an answer out of that system, or want the assistant to search in it, a real connector is the better choice. You often see both side by side: reading through a connector, passing on through a Zap.

What does a Zapier connector cost?

This part is usually small work within the project we run together. What takes time is agreeing the fields and deciding who may start a Zap, not the switching on itself. Your Zapier subscription is separate from that and stays with Zapier.

How long does setup take?

If the Zap already exists, it comes down to handing over the address and running a test once. If the Zap still has to be built, that determines the lead time, and that work happens inside Zapier itself.
