Connect Gripp to AI: live work, clients and invoicing in one conversation

Gripp can be connected to AI. The assistant looks up running projects, brings in the clients they belong to and shows how invoicing stands. It can prepare a quote in Gripp, but only when somebody explicitly asks for it. Questions about current work are therefore answered from Gripp itself, without anyone opening the system.

An agency that runs on Gripp has everything in one place: the live assignments, the clients they belong to, the hours written against them and the invoices that follow. That is exactly why everybody is in and out of Gripp all day. The project lead wants to know which assignments still run this month. The owner wants the invoicing position before taking on new work. And there is always somebody asking whether that quote for a client is ready yet. With an AI connector you simply ask those questions in the chat. The assistant looks in Gripp and answers in plain language, naming the client and the period so you know what it is talking about. It also asks back: which month are we talking about, everything that is running or only what ends this week. That is not a formality but the heart of a usable answer, because an agency that has worked in Gripp for a few years carries a long history and nobody wants all of it at once. Writing is possible too, in one form: the assistant can prepare a quote. That is an action aimed at a client, so it happens only on explicit request, and afterwards it summarises what now sits in Gripp.

What the assistant looks up in Gripp

Running projects

The assistant finds which assignments are live and which end soon, for the period you name. That keeps an answer about current work instead of files closed long ago.

Clients from Gripp

Contacts and companies come along where that helps: which client an assignment belongs to, which assignments are running for this customer. The assistant looks the client up by name.

The invoicing position

Invoices come back with their amount, date and status. With that the assistant answers questions such as what has been invoiced this month and what is still outstanding with which client.

Prepare a quote

The assistant can create a new quote in Gripp. It does so only after an explicit request and then summarises what it prepared, so whoever sends it knows what it says.

Always within a period

For a question without a timeframe the assistant first asks which period or which status you mean. An answer therefore covers the work of today and not everything the agency has ever done.

Situations from agency life

Agency

Situation
The project lead starts the week and wants to know which assignments are still running and which end this month.
What the agent does
The assistant finds the live assignments for that period and lists them per client.
Result
An overview in the chat, without anyone first assembling a report inside Gripp.

Management

Situation
Before a call with the accountant, the owner wants to know how invoicing stands this month.
What the agent does
The assistant pulls that month's invoices and shows what has gone out and what is still open.
Result
A figure with its source attached and the option to drill straight into a single client.

Sales

Situation
A new request arrives from a client worked with before, but nobody remembers what was agreed back then.
What the agent does
The assistant looks the client up and brings in the assignments and invoices attached to it.
Result
The conversation with the client starts with the right history instead of with a search.

Back office

Situation
After an agreement by email a quote has to appear in Gripp, and that sits waiting until someone finds the time.
What the agent does
On explicit request the assistant prepares the quote with the client and the agreed lines and summarises what now stands.
Result
The quote is ready the same day, waiting to be checked and sent.

Planning

Situation
At the weekly start the question is which clients currently have several assignments running at once.
What the agent does
The assistant sets the live assignments alongside their clients and groups them.
Result
The pressure becomes visible before the planning jams up rather than afterwards.

From switching on to the first answer

  1. 1

    Switch the connector on

You give IntraGPT access to Gripp with a key from your own environment. You can withdraw that access again at any moment.

  2. 2

    Roles decide who uses it

You record which roles may work with the Gripp assistant. For the rest of the organisation it does not exist.

  3. 3

    What the assistant sees

Projects, clients and invoices, each time for the period or the client the question is about. Time tracking and editing assignments are not part of it.

  4. 4

    What gets recorded

Every question and every action lands in the log. For a prepared quote you can therefore see when it happened and at whose request.

Connected securely

Project figures, rates and who may see them

Gripp holds what an assignment earns and what a client pays. That is not something everybody in the organisation needs to be able to ask for.

Where the data lives: Nederland of de EU

Access stays yours

The connector works with access you grant yourself and can withdraw yourself. After that the assistant can do nothing in Gripp, without anything having to change inside IntraGPT.

Not for every employee

You decide which roles may use the Gripp assistant. An assistant for the shop floor never sees it, not even when somebody asks for it.

Writing is a single action

Of everything the assistant can do, exactly one thing changes anything in Gripp: preparing a quote. There is no way for it to edit an assignment, book hours or send an invoice.

On your own server

The model runs on our own server in the Netherlands. Project figures and rates from Gripp are not sent to an American model provider and are never used for training.

Frequently asked questions about Gripp and AI

Can I connect Gripp to ChatGPT?

ChatGPT has no connection to Gripp, and pasting your project administration into a public chatbot is not an option for most agencies. IntraGPT chats the same way, but with a connector you switch on and off yourself, that is available per role and whose every action is recorded.

Does IntraGPT work with Gripp?

Yes. Gripp is one of the systems IntraGPT connects to as standard, with projects, clients and invoices to look up and the option to prepare a quote.

Can the assistant create or change anything in Gripp itself?

Only prepare a quote, and only when you enable that option. It acts after an explicit request and afterwards says what it prepared. Checking, signing and sending stay human work. Editing assignments or booking hours is beyond it.

Will everybody now see our rates and margins?

No. You decide per role who may work with the Gripp assistant. An assistant that is available to the whole organisation simply is not attached to Gripp. The financial side therefore stays visible to the people who may already see it today.

Can we start with reading only and expand later?

Yes, and that is what most agencies do. You start with looking things up, and only once that works well do you enable preparing quotes. Expanding or rolling back is a setting, not a new project.

Does it keep working when the colleague who set it up leaves?

Yes. The connector belongs to the organisation and not to one employee's personal account. If somebody leaves, the connector stays in place. If you want it stopped, you withdraw the access and it is done immediately.

What does a Gripp connector cost?

Connecting is part of the project we run together. What drives the work is whether it only reads or may also prepare quotes, which roles may use the assistant, and whether Gripp is the only source or is queried alongside the bookkeeping. We make that concrete in a first conversation.

How long does setup take?

Once access is arranged, the connector is live within minutes. The lead time usually sits in agreeing internally who switches it on and which colleagues may use the assistant.
